Documents and verification
New joiners can finish the paperwork on their phones through the ZeniaHR self-onboarding link or its QR code; the form is available in English, Hindi and Gujarati. They type in personal, family, bank, education and experience details and attach the documents on your checklist, and HR then approves, sends back or rejects. Approval creates the employee record, so the first day is spent on training rather than forms.
- Aadhaar, PAN, address proof and photographs
- Beauty, hair or spa certificates and a portfolio
- Police verification for spa therapists and home service staff
- Bank proof and an emergency contact
- Relieving letter from the previous salon for senior staff
- A health certificate if your local trade licence asks for one
Hygiene and client safety first
Before a new stylist takes a client, walk through the salon's SOPs: sterilizing combs, scissors and tools between clients, disposables that are never reused, patch tests 48 hours before colour, allergy questions at consultation, and what to do if a client reacts to a product. Spa therapists learn room hygiene, linen changes, client privacy and consent for each treatment. Record the session as an induction program, so it is on file if a client ever complains.
Trial week and product training
Many salons run a trial week in which the new stylist first assists a senior, then takes simple services, then full clients. Pair this with training on the colour and care range, so the stylist can advise clients and sell retail with confidence. The salon manager signs off a short checklist before the stylist is opened up in the booking system for clients to book by name.
Appointment letter and probation
Issue an appointment letter to every new joiner, as the OSH Code requires. For salon roles, include the base pay, the commission and incentive formula, the weekly off rule, weekend working, notice period and probation. Three months of probation is common for stylists and therapists. ZeniaHR lists probationers due for confirmation, reminds HR and the manager, and records the manager's 1 to 5 rating and comment before HR confirms or extends.

What documents are needed to join a salon?
Usually Aadhaar, PAN, address proof, photographs, bank details, beauty or hair certificates with a portfolio, and a relieving letter for senior roles. Spa therapists and staff who do home services also go through police verification, and some local licences ask for a health certificate.
Is police verification required for spa therapists?
Many city police and licensing rules ask spas to keep police verification for therapists, so check your local requirements. Even where it is not required, many spas do it because therapists work one to one with clients. Start it when the offer is accepted and keep the report in the employee's file.
What should salon induction training include?
Tool sterilization, disposables, patch tests before colour, allergy questions at consultation, handling a client reaction, chemical storage, client privacy, the product range and retail selling, and the booking system. Spa staff add room hygiene and consent for each treatment.
