Shift scheduling for salons and spas

Salon rosters follow bookings: quiet weekday mornings, busier evenings and full weekends. Many salons stagger two overlapping shifts inside a 10 or 11-hour day, give weekly offs only from Monday to Thursday, and keep a mix of skills on the floor so a colour client or a bride is never turned away. Spas add appointment blocks and room preparation. Good scheduling puts the right skills on the busiest hours and keeps the roster fair.

Staggered shifts inside a long day

Staggering puts two shifts' worth of people on the evening peak without a 12-hour day for anyone. Breaks need care on weekends: set the paid break allowance in the shift and stagger lunch so the floor is never empty and nobody works through the day without eating.

Skill cover, not just headcount

A Saturday roster with six people can still fail if none of them does colour correction or bridal makeup. List the skills each branch needs on each shift, such as a senior stylist, a colourist, a nail technician and a makeup artist on wedding weekends, and check the day grid against that list every week. ZeniaHR shows who is rostered where; the skill check itself is the manager's list, since skills are not a roster rule in the system.

Worked example: weekly offs for a seven-stylist salon

A salon with 7 stylists needs all 7 on Saturday and Sunday and at least 5 on every weekday. Weekly offs can only fall from Monday to Thursday, so 7 offs are spread over 4 days: 2 on Monday, 2 on Tuesday, 2 on Wednesday and 1 on Thursday. That leaves 5 stylists on Monday, Tuesday and Wednesday, 6 on Thursday and all 7 on Friday, which meets the minimum every day. Build it as a personal weekly off for each stylist or a rotation template that moves the off day over the month.

Bridal early calls and swaps

On a wedding morning a makeup artist may start at 4:30 am. Roster that day as a special early shift instead of stretching her regular one, and give her the next morning off or a late start. Pre-dawn calls and late closings can count as night work, which women staff may take on only with their written consent and under the safety conditions notified by the government, so record consent and arrange transport; see the night shift rules. Swaps are common around weddings and exams, and with Shift Swaps the colleague, the manager and HR all agree before the roster changes.

How to set it up in ZeniaHR

  1. Create early, late, spa and bridal early-call shifts in the catalogue with break allowances and grace.
  2. Set weekly off patterns so offs fall only from Monday to Thursday, with personal weekly offs where needed.
  3. Assign the monthly roster in bulk, then adjust wedding weekends day by day in the day grid.
  4. Turn on Shift Swaps so each change needs the colleague, the manager and HR to agree.
  5. Record night work consent in Employee Documents for staff on pre-dawn calls or late shifts.

Frequently asked questions

What are the working hours in a salon in India?

Many salons open from about 10 am to 8 or 9 pm and run two staggered shifts, such as 9:45 am to 6:45 pm and 12 pm to 9 pm, so the evening peak has more people. Spas often run from 11 am to 10 pm in appointment blocks, and everyone works on weekends.

Do salon staff get weekly offs on weekends?

Usually not. Saturdays and Sundays are the busiest days, so weekly offs are given from Monday to Thursday and spread out so enough stylists are always on the floor. Some salons also close on one fixed weekday, which works as a weekly off for everyone.

How do salons schedule makeup artists for early bridal calls?

They roster a special early shift for the wedding day, often starting at 4:30 or 5 am, and give a late start or the next morning off to balance the hours. Consent for early work is recorded, transport is arranged, and the artist punches from the venue with the mobile app.
