Employee documents for schools

A school's staff files are checked by more people than most employers' files: inspection teams, affiliation visits, the management, and parents who ask whether the bus driver is verified. Each teacher's file should prove qualifications and experience, each driver's file should show a valid licence and fitness, and everyone who works around children should have current police verification. Good document practice means a checklist per role, verified originals, and expiry dates that prompt action before anything lapses.

What each staff file should hold

Start with what every employee needs: the appointment letter, ID and address proof, PAN, bank details, photographs and nominee details. For teachers, add degree certificates and marksheets, the B.Ed or D.El.Ed, the CTET or TET scorecard where applicable, experience and relieving letters, and the confirmation letter after probation. For drivers, add the driving licence with the passenger vehicle badge and a fitness certificate. For ayahs, attendants, guards and hostel staff, add police verification. Keep the signed child protection and code of conduct declarations on every file.

Verifying originals

Photocopies prove little. Have the office superintendent see original degree and B.Ed certificates at joining, mark each document verified, and note who verified it and when. Where a certificate looks doubtful, write to the university or board for confirmation before the teacher's probation ends. Experience letters from previous schools can be checked with a call to that school's office. A rejected document goes back to the employee with a clear reason and a date to resubmit, so the file does not stay incomplete for a whole session.

Expiry dates that matter in a school

Three kinds of papers expire in a school. Driving licences and badges have fixed validity dates. Police verification is renewed on a cycle set by the management, such as every two or three years, and again when someone moves into a more sensitive role such as hostel duty. Medical fitness for drivers and for kitchen staff in boarding schools is often renewed every year. Record the expiry date on each document when it is uploaded, and review everything expiring in the next 60 days at the monthly admin meeting.

Inspections and access to files

When an inspection or affiliation visit asks for staff qualifications at a day's notice, the office should be able to pull every teacher's certificates without opening a single cupboard. Keep scanned copies on each profile, grouped by type. Limit who can see salary and bank details, since the clerk who manages the document checklist does not need to see what the principal earns. When a document has to be shared with an inspector or auditor, share a time-limited download link rather than an email attachment that sits in an inbox for years.
