Attendance management for schools

In a school, attendance is about being in the building before assembly, not about completing eight hours. Teachers must report on time so the first period starts on time, and absences must be known early enough to arrange substitution. Good school attendance judges late arrivals against the summer or winter timing in force, keeps vacation days apart from absence, handles bus staff on split duty and closes the month cleanly for payroll.

Reporting time, assembly and late marks

Most schools ask teachers to report 10 to 15 minutes before assembly, for example 7:30 am for a 7:45 am assembly, and to stay until dispersal is complete at about 2:30 pm. A teacher who walks in at 7:50 am has missed assembly and may miss the start of the first period, so the late rule should read the teacher reporting time, not the student bell. A common policy gives 10 minutes of grace, two free late marks a month and a half-day deduction for every three late marks after that. Early exits need their own rule, because leaving at 1:45 pm on a PTM Saturday hurts more than arriving five minutes late.

Knowing who is absent before the first period

Substitution depends on attendance. If the timetable in-charge learns at 8:15 am that the Class 7 science teacher is absent, the first period has already gone unsupervised. Ask teachers to apply for leave on the app the evening before, or by 6:30 am on the day, and have each coordinator look at the live team board at 7:40 am for anyone who is not in yet. The arrangement register itself stays with the timetable in-charge, on paper or in the timetable file. Attendance only has to hand them an accurate list early.

Vacation days, exam days and bus staff

During summer vacation, teachers are on vacation while office, accounts and maintenance staff keep punching. If vacation is not set up as holidays for teachers only, every teacher shows absent for six weeks and payroll deducts pay. Exam days shorten student hours but not teacher hours, because evaluation and result entry follow, so keep the normal teacher shift on those days. Bus drivers and attendants work a morning block and an afternoon block. Mark them against a split shift so the gap between the pickup run and the drop run is not treated as missing time.

Corrections and month close

Teachers forget to punch out when they leave straight from a PTM, an inter-school competition or a field trip. Allow a small number of corrections, for example three a month and no more than five days back, approved by the coordinator and then HR. Close attendance by the 2nd or 3rd of the following month, once pending corrections are cleared, so the accountant can run payroll and pay salaries by the 7th. After close, a missed correction goes through a month reopen with a reason rather than a quiet edit.

  7. Run month close once corrections are cleared, so paid days flow from the finalized attendance month into Direct Payroll.

How do schools mark teacher attendance?

Most schools use a biometric machine in the staff room or at the gate, or a QR kiosk that teachers scan with the mobile app. Each punch is judged against the teacher's shift for the season, so an arrival after reporting time is marked late automatically and vacation days are not counted as absence.

What is a fair late mark policy for teachers?

A common approach is 10 minutes of grace after reporting time, two late arrivals a month without penalty, and half a day deducted for every three late marks after that. Count from teacher reporting time rather than the student bell, write the rule in the staff handbook, and cap the monthly penalty so one bad week does not wipe out a month's pay.

Should teachers punch in during summer vacation?

Not if they are on vacation. Set the vacation days as holidays for teaching staff only, so teachers are not shown absent. Teachers recalled for admission work, a summer camp or result preparation should punch on those days, so the duty is on record and HR can give comp-off for it.
