Shift scheduling for schools

Schools do not look like shift workplaces, yet most run five or six timings at once. Teachers have a summer and a winter timing, pre-primary staff leave earlier, the office keeps a longer day, bus staff work a split duty and guards cover the campus around the clock. Boarding schools add hostel nights. Scheduling well means defining each timing once, switching seasons in bulk and keeping the gate and the buses covered every day.

The timings a typical day school runs

Take a CBSE day school in Jaipur. Teachers work 7:30 am to 2:30 pm from April to October and 8:10 am to 3 pm in winter. Pre-primary teachers leave at 1 pm once the little ones are handed over. The office works 8 am to 4 pm. Drivers and attendants report at 6:15 am for the pickup runs, go off at 9:15 am and return at 12:45 pm for the two drop runs. Guards cover the gate in three 8-hour shifts.

Switching between summer and winter timings

The switch dates are usually announced a week or two ahead in a circular. Plan the switch as a bulk assignment of the winter teacher shift from the first winter day, instead of editing the summer shift, so that past days are still judged against the timing that was in force then. Do the same in April. If bus timings change on the same date, update the transport shift at the same time, or the first morning after the change will show every driver late.

Saturdays, weekly offs and hostel rotas

Many schools keep the second and fourth Saturdays off, or make Saturdays working for teachers only, for PTMs, planning meetings and activity clubs. Guards and hostel staff cannot all take Sunday off, so give each a personal weekly off on a staggered day. In a boarding school, wardens rotate night duty, for example one senior and one junior warden per house each night, on a cycle that repeats every 14 days. A warden who wants to swap a night should need the colleague's acceptance and then the housemaster's and HR's approval before the rota changes.

Keeping minimum cover every day

Some posts can never be empty during school hours: the gate, the nurse's room, every bus on the route and the reception at dispersal. List them with the minimum number needed per shift, and check the roster a week ahead for gaps created by leave or weekly offs. A driver on leave needs a relief driver named the evening before, not a scramble at 6 am. Exam days need the same care, because invigilation keeps more teachers on campus until the last answer sheet is collected.
