What to include
A specific citation
Write one or two sentences on what the person actually did in that month. A specific citation makes the certificate meaningful to the winner and shows colleagues what good work looks like.
Published selection criteria
Publish the criteria in advance: results against targets, quality, attendance record, customer or patient feedback, teamwork. Transparent criteria stop the award from looking like a popularity contest.
Fair across shifts and sites
Make sure night shift, field and branch staff can win, not just people seen at head office. Rotate nominations across departments or run separate awards by location.
Signed by leadership
A signature from the CEO or plant head, with the manager's, gives the certificate weight. Present it in person rather than leaving it on the desk.
Reward processed properly
If a voucher or cash reward comes with the award, get it approved and processed on time. Cash rewards paid through payroll are part of salary for tax.
Common mistakes to avoid
- Writing the same generic citation every month.
- Choosing winners without published criteria or a second opinion.
- Only ever recognising head office staff while shift and site workers are ignored.
- Announcing a cash reward that is then paid months late.
- Sharing the winner's photo publicly without asking.
Run it in ZeniaHR
In ZeniaHR, the praise and badges colleagues give during the month, such as Team player, Customer first or Above and beyond, feed a monthly leaderboard that selection committees can use as one input alongside results and attendance. Announce the winner with a Company Wall post for everyone or for selected branches, pin it, and let colleagues react and comment. If there is a cash reward, HR adds it as an incentive payroll input, and the certificate goes into the employee's documents.

What should be written on an employee of the month certificate?
Include the company name, the words Employee of the Month with the month and year, the employee's name, designation and department, a one or two sentence citation describing the achievement, the signatures of the CEO or unit head and the manager, a date and a certificate number.
How do you choose an employee of the month fairly?
Publish clear criteria, such as results against targets, quality, attendance and customer or colleague feedback, and ask managers to nominate with evidence. A small committee picks the winner, rotating attention across departments and shifts, and explains the choice with the citation.
Should employee of the month come with a reward?
It helps, but it need not be large. A gift card, a paid day off or a reserved parking spot all work. The recognition in front of colleagues and the specific citation often matter more than the value. Whatever the reward, deliver it promptly.
