3. Duration and frequency

What to include
Eligibility tied to service
Limit sabbaticals to employees with long service and a good performance record. It is a retention benefit, and eligibility rules explain why it is not open to everyone.
Pay and benefits in writing
State whether any part of the break is paid and which benefits continue, especially health insurance. An employee on a long break without insurance cover is exposed to serious risk.
Team limits
Cap how many people from one team can be on sabbatical at once. The cap protects operations and makes approval decisions easy to explain.
An assured return
Promise the same or an equivalent role at the same grade and pay. Without an assured return, a sabbatical feels like a resignation with extra paperwork.
Outside work during the break
Say whether paid work elsewhere is allowed during the sabbatical. Requiring prior approval avoids conflicts of interest and keeps the break for its stated purpose.
Common mistakes to avoid
- Approving a sabbatical informally, with no letter confirming dates, pay and return.
- Letting health insurance lapse during the break without telling the employee.
- Promising the same role and then filling it permanently.
- Allowing several people from one small team to take a sabbatical together.
- Treating a late return as resignation without first contacting the employee.

What is sabbatical leave?

Is sabbatical leave paid in India?
It depends on the company. Sabbaticals are often unpaid, sometimes with a short paid portion for very long-serving staff, while health insurance usually continues. The policy and the approval letter should state pay and benefits clearly before the break begins.
Does a sabbatical break service with the company?
It should not, if the policy says so. The employee stays on the rolls throughout an approved sabbatical. The policy should also say whether the months away count for increments, leave accrual and other service-linked benefits, because employees will ask about each of these.
