Employee referral policy template

An employee referral policy rewards employees who recommend people they know for open roles. It explains who can refer, which roles qualify, how much the referral bonus is and when it is paid, and who cannot claim one, such as recruiters and the hiring manager. Clear rules prevent arguments over who referred a candidate first, and keep referred candidates within fair, merit-based selection.

When to use it: Launch it when you hire steadily and want good candidates at lower cost than agency fees. HR drafts it and finance approves the bonus amounts and budget. Announce open referral roles regularly, and raise the bonus for a limited period when a role is hard to fill, such as staff nurses, CNC operators or senior developers.

1. Purpose

This policy encourages employees of [Company Name] to refer suitable candidates for open positions, and rewards successful referrals in a fair and transparent way.

2. Scope

It covers all positions that HR lists as open for referral on [Referral Channel], at every location. It does not cover positions filled through campus hiring or internal job posting.

3. Definitions

  • Referrer: the employee who submits the candidate.
  • Successful referral: a referred candidate who joins and completes [Number] months of service.
  • Referral bonus: the amount paid to the referrer for a successful referral.

4. Policy

  • All employees on the rolls of [Company Name] may refer candidates, except HR and recruitment staff, the hiring manager and interview panel for the role, and employees at [Grade] and above.
  • Referral bonus by level: [Level A]: [Rupee Amount]; [Level B]: [Rupee Amount]; [Level C]: [Rupee Amount].
  • The bonus is paid in [two] parts: [Percentage] after the referred employee completes [Number] months and the balance after [Number] months, provided both the referrer and the referred employee are in service on each payout date.
  • The bonus is paid through payroll as an earning in the month it becomes due.
  • A referral counts only if it is submitted through [Referral Channel] before the candidate enters our records from any other source. The earliest valid submission decides which employee made the referral.
  • Referred candidates go through the same selection process as all other candidates. A referral gives no advantage beyond consideration.
  • No bonus is paid for rehiring a former employee or for a candidate already in process through an agency in the last [Number] months.
  • Relatives may be referred subject to the Hiring of Relatives Policy, and the bonus for a relative is [paid or not paid].

5. Procedure

  • Submit the candidate's resume through [Referral Channel] with a short note on how you know the person.
  • HR acknowledges the referral within [Number] working days and records the date and time it was received.
  • HR tells the referrer when the candidate is shortlisted, selected or not taken forward.
  • When each payout condition is met, HR adds the bonus to that month's payroll inputs and informs the referrer.

6. Responsibilities

  • Employees: refer people they genuinely believe are suitable, and declare any relationship.
  • HR: record referrals fairly, keep referrers informed and process bonuses on time.
  • Hiring managers: assess referred candidates exactly as they assess others.
  • Finance: approve the referral budget and check payouts against HR records.

7. Exceptions

For hard-to-fill roles, the managing director may approve a higher bonus for a limited period. The amount, roles and closing date are announced in writing to all employees.

8. Review

HR reviews this policy every [12] months, comparing the quality, retention and cost of referral hires with other sources, and recommends changes to bonus amounts to [Approver Designation].

What to include

Who can and cannot claim

Exclude recruiters, hiring managers and panel members for the role. People who control the selection should not also earn a bonus from it.

Payout after retention

Tie the bonus to the referred employee completing a period of service, often paid in two parts. This rewards referrals that stay, not just referrals that join.

A first valid referral rule

Decide ownership by the earliest valid submission through one channel. Without this rule, two employees and an agency may all claim the same candidate.

The same selection standard

Say that referred candidates face the same interviews and checks as everyone else. It protects quality and avoids resentment among other applicants.

Payment through payroll

Pay the bonus through payroll as an earning, so it appears on the payslip and is treated like other pay for tax and records.

Feedback to referrers

Tell referrers what happened to their candidate, even when the answer is no. Employees who never hear back soon stop referring.

What is an employee referral bonus?

An employee referral bonus is an amount a company pays to an employee who recommends a candidate who is hired and stays for a set period. The amount usually varies by role level, and it is paid through payroll, often in two parts, after the new employee completes the service conditions stated in the policy.

When is a referral bonus paid?

Most policies pay it only after the referred employee has completed a period of service, such as three or six months, and many split it into two payments. Both the referrer and the new employee usually need to be in service on the payout date. The policy should state the exact conditions and timing.

Who is not eligible for a referral bonus?

Recruiters and HR staff, the hiring manager and interview panel for the role, and senior leaders are commonly excluded, because they influence or run the selection. Referrals of former employees, and of candidates already in process through an agency, are also usually ineligible. List every exclusion clearly to avoid disputes.

Can employees refer their relatives?

They can, if the Hiring of Relatives Policy allows it, but the relative must not report to the referrer or be selected by them, and the relationship must be declared. Some companies pay the referral bonus for relatives and some do not, so state your choice clearly in the policy.
