Online punch in and punch out

How it works

1. The employee opens My Self-Service. The today card shows today's shift with its timings, or Weekly off today, and No punches yet today.
2. Punch in starts the worked timer. The card shows the first-in time and an On time or Late by badge measured against the shift and grace.
3. Break starts the break timer; Resume ends it. Punch out is disabled during a break, so a break is never left open.
4. Punch out records the last-out time, and the card shows the hours worked after breaks.
5. If the company asks for location, the browser asks for it at the punch and tries once more if needed. A refused punch explains the network or distance problem.
6. The same punches can be made from the employee app or at a QR kiosk, and they all land in one record for the day.

What you can set

• Punch buttons: Punch in, Break, Resume and Punch out, offered according to the day's state.
• Live timers: worked time, and break time while on a break.
• Shift line: the shift name and timings, Weekly off today, or No shift assigned.
• Late badge: On time, or Late by the minutes after the shift start plus grace.
• Capture rules: office networks only, browser location inside a check-in spot, or neither, as set by HR.
• Approved work from home and on duty days count as present without a punch.

Why a browser punch still needs rules

A punch button in the browser is convenient, and that is exactly the risk: anyone can press it from anywhere. ZeniaHR lets HR decide how open it should be. Some companies allow web punches from anywhere, some only from the office network, and some also ask for the browser location inside a check-in spot. The employee always gets a plain reason when a punch is refused, instead of a generic error, which cuts down calls to HR.

Worked example: a day for an inside sales executive in Gurugram

Ritika Singh is an inside sales executive in Gurugram on the General shift, 9 am to 6 pm. Her company allows web punches only from the office network and asks for the browser location. She punches in at 8:57 am from her office laptop, allows the location, and the card shows On time with the worked timer running. At 1:15 pm she taps Break, and at 1:50 pm she taps Resume.

At 6:05 pm she punches out. Her gross time is 9 hours 8 minutes and her break was 35 minutes, so the card shows 8 hours 33 minutes worked. On Friday she has an approved work from home day, so she does not punch at all and the day counts as present. When she once tried a web punch from a cafe, the card told her that web punching is allowed only from the office network, and she waited until she reached the office.

Tips for employees and HR

Most punch problems come from habits rather than the system. A short note to staff in the first week about breaks, locations and what to do on a work from home day saves a month of corrections, and it costs HR one email or one notice board post.

• Punch breaks as they happen; an open break blocks the punch-out until it is ended.
• Allow location in the browser once, so later punches go through without a prompt.
• On an approved work from home or on duty day, there is no need to punch.
• If a punch is refused, read the message: it names the network or the distance from the spot.
