Work from home and on duty requests

Work from home and on duty days are when people work but do not punch at the office: a plumber at home, a client site in another town, a bank visit for the company. In ZeniaHR the employee raises a request for the date from My Self-Service or the app, with a reason, and a place for on duty. ZeniaHR checks the monthly work from home limit and the approval rule, and once approved, the day counts as present without a punch.

How it works

  1. The employee opens Work from home and on duty on My Self-Service and picks the type and the date.
  2. They give a reason, which is required, and for on duty the place, such as a client's office in Alappuzha.
  3. ZeniaHR checks the rules first: one request per date, never for a finalized month, and the monthly work from home limit for the person's work model.
  4. The page shows how the request counts, such as work from home day 2 of 4 for the month, or refuses it when the limit is used up.
  5. Approval runs from the reporting manager to HR. If the company needs no approval, a request for today or a later date is approved at once.
  6. Once approved, the day is graded as present, and it shows that way in My attendance and payroll.

Why these days need a request

Without a request, a day away from the office looks like an absence. The employee then raises a correction after the fact, the manager has to remember what happened, and payroll waits. A request made on or before the day records what was agreed, counts it against the right limit and marks the day present as soon as it is approved. It also gives HR a clean record of how much work from home each team uses.

Worked example: two requests at a Kochi service company

Deepak Nair is a service engineer at a Kochi equipment company. On Monday he raises an on duty request for Wednesday with the place 'Customer plant, Alappuzha' and the reason 'Annual maintenance visit'. His manager approves on Monday evening and HR on Tuesday morning, so on Wednesday he does not need to punch and the day counts as present.

His colleague Priyanka Menon in accounts needs to wait at home for a plumber on Thursday. She raises work from home with that reason, and the page tells her this is work from home day 2 of 4 for the month. Her manager and HR approve. When she later tries a second request for the same Thursday by mistake, ZeniaHR tells her she already has a work from home request for that date.

A new work from home request for an office day that month is refused, with a message saying you have used all your days for the month. Speak to your manager; HR can change the limit or your work model if the arrangement has changed. On duty requests are not affected.
