Overtime management

ZeniaHR finds overtime in the punches instead of waiting for claims. Every night it looks at the two previous days, counts the minutes worked beyond the full day or after the shift end, rounds them down and raises a request. The reporting manager and HR approve it, or it is approved at once if your policy says so. The final approval turns it into a payroll earning or a comp-off credit, exactly once.

From punches to an overtime request

Overtime detection reads the same graded days as attendance and payroll. On a working day it counts the minutes beyond the full-day hours, or after the shift end, depending on your policy. On a weekly off or a holiday every worked minute counts. The minutes are rounded down to your step, must reach the minimum, and stop at the monthly cap. Leave days, days graded absent and days still open without a punch-out never carry overtime, so a forgotten punch-out cannot turn into paid hours.

Overtime and the law

Under the OSH Code, ordinary daily work is capped at eight hours, and work beyond the prescribed hours is overtime, paid at twice the ordinary wage rate with the worker's consent; see the working hours and overtime rules. In ZeniaHR the pay multipliers for working days, weekly offs and holidays are set by your company, so keep each at 2 or more. The working-day multiplier starts at 1.5 in a new policy, so change it before switching overtime on. Keep the worker's consent in your own records; ZeniaHR detects and pays overtime but does not collect consent.

How overtime connects to payroll and leave

Overtime approved as money becomes an overtime earning in Direct Payroll for the month in which it was worked, and it shows on the payslip with the other earnings. Overtime approved as comp-off is credited to the leave ledger, where it lapses on the comp-off type's schedule if unused. Employees see both on My Self-Service under their overtime, with the hours, the status and how each request was paid, and the same view is in the app.

How does ZeniaHR calculate overtime?

What is the overtime rate in India?

Under the OSH Code, work beyond the prescribed hours is overtime and is paid at twice the ordinary wage rate, with the worker's consent. In ZeniaHR the multipliers for working days, weekly offs and holidays are set by your company, and you should keep each at 2 or more to meet that rule.

Can overtime be given as comp-off instead of pay?

Yes, if your policy pays overtime as comp-off or lets the employee choose. On the final approval, 8 or more hours earn a full day of comp-off and 4 or more earn half a day, with nothing below that. Check your state rules and standing orders before replacing overtime wages with comp-off for workers.

Is there a limit on overtime hours?

Your company sets a monthly cap in the overtime policy, 50 hours by default. The day that crosses the cap is trimmed and later days in that month are not raised. The OSH Code leaves working-hour limits to government notification, so check the limit for your state and keep your cap within it.
