What is a Job Requisition? Meaning and Example

A job requisition is a formal request, raised by a hiring manager and approved by leadership, finance or HR, to fill a new or vacant position. It records the role, number of openings, reason, budget, location and required skills, and it authorizes recruitment to begin.

What a requisition contains

For a replacement, the requisition names the person who left, which keeps a link between exits and hiring. For a new position, it refers to the approved workforce plan or budget line, so finance can see that the hire was planned.

The approval flow

The hiring manager raises the requisition, the department head confirms the need, finance checks the budget, and HR confirms the grade and pay range. Only then does sourcing start. Skipping this step leads to hiring beyond budget, duplicate hiring for the same need, and offers at pay levels that break internal parity. Keep the flow short as well: a requisition that takes three weeks to approve delays hiring as much as a slow recruiter does.

Tracking requisitions

Give each requisition an ID, an owner and a status: open, on hold, filled or cancelled. Time to fill is measured from approval to offer acceptance or joining, and the list of open requisitions shows where the hiring backlog sits. Example: On 5 August 2026, the Area Manager of a Delhi retail chain raised a requisition for 6 Customer Service Associates for a new Dwarka store opening on 1 October. It listed grade S1, a gross salary range of ₹17,000 to ₹19,000 a month, and a joining date of 15 September to allow for training. The regional head and finance approved it on 7 August, and sourcing began the next working day.

What is the difference between a job requisition and a job description?
