Who gets comp off and for what
Write the eligibility rule clearly. Comp off usually applies to work on a declared holiday or on the employee's own weekly off, approved in advance by the manager. It does not normally apply to an optional holiday the person chose not to take, to travel on a weekend, or to staff rostered to work that day whose weekly off falls on another day, such as a store team on a Sunday. Decide whether senior managers are eligible; some companies leave them out because their pay already reflects irregular hours.
How much comp off to give
Tie the credit to the hours worked. A clear rule gives a half-day comp off for 4 or more hours and a full day for 8 or more hours on a holiday or weekly off. On Independence Day, Saturday 15 August 2026, the IT team at a Noida company works from 9 am to 1:30 pm on a server migration, 4 hours 30 minutes, and each member earns a half-day comp off. Two engineers stay until 6 pm with a one-hour lunch, 8 hours of work, and earn a full day. Each credit is recorded that day with its expiry date.
Expiry and how comp off is used
Comp off credits should expire, or they pile up into a liability nobody tracks. A window of 30 to 90 days is practical: long enough to plan, short enough to stay close to the work it replaced. Tell employees the expiry date when the credit is granted, remind them before it lapses, and let managers refuse a date only for genuine business reasons, offering another. Decide whether comp off can be joined to other leave or taken as half days. If a credit lapses because the manager kept refusing dates, extend it; the lapse rule is not meant to take back earned time.
Comp off or overtime pay
For employees covered by the overtime rules, hours beyond the prescribed limits are overtime and are paid at twice the ordinary wage rate, with the worker's consent, so take advice before offering comp off instead of that payment. Comp off suits cases where the extra day is not overtime under your rules, such as a holiday worked within normal weekly hours, and staff outside the overtime rules. Some companies let the employee choose between pay and comp off where both are allowed. Whichever applies, say so in the approval, so nobody finds out afterwards that they expected money and got leave.

- Write the comp off policy. State who is eligible, which days qualify, the hours for a half day and a full day, the expiry, the approver and whether pay is an alternative.
- Approve holiday work in advance. The manager approves the work and the names before the holiday, with the reason. Unplanned emergencies are approved on the next working day.
- Record hours worked on the day. Use punches for holiday work just like a normal day, so the credit matches the hours actually worked rather than an estimate.
