Payroll for automobile dealerships

In a dealership, the payslip is half fixed salary and half argument. Sales consultants earn per vehicle and on finance, insurance and accessories penetration, service advisors on revenue and value-added services, and technicians on labour hours. Festival advances are common, and many workshop staff fall under ESI. Good payroll here builds a clean fixed structure, takes incentives as approved inputs with a clear rule on what counts, recovers advances on schedule, and pays by the 7th.

Worked example: a sales consultant's incentive

Say the scheme pays ₹500 per vehicle for the first five deliveries in a month and ₹800 per vehicle beyond five, plus ₹1,000 if at least 70 percent of the consultant's deliveries are financed through the dealership. A consultant delivers 8 vehicles, 6 of them financed. The unit incentive is 5 x ₹500 + 3 x ₹800 = ₹2,500 + ₹2,400 = ₹4,900. Finance penetration is 6 / 8 = 75 percent, above 70, so ₹1,000 is added. The month's incentive is ₹5,900, entered as one payroll input.

Delivered, not booked

The most common incentive dispute is about which vehicles count. Put the rule in writing: incentives are paid on vehicles delivered and invoiced in the month, not on bookings. Cancelled bookings earn nothing, and a delivery that slips to the 1st counts in the next month. The sales manager approves the list, the accounts team checks it against invoices, and only then does HR enter the amount in payroll.

Workshop incentives and fixed pay

Technicians often earn an incentive on labour hours billed above a monthly target, and service advisors on revenue per repair order or value-added services. Structure fixed pay with basic and DA at 50 percent of gross or more, which stops the wage definition from pulling allowances back into PF and bonus, and pay incentives as separate monthly inputs. Technicians and washers whose wages fall within the ESI limit need ESI deducted, as your ESI applicability requires, and professional tax follows your state.

Festival advances and recovery

Before Diwali, many staff ask for an advance. Record each one with a recovery plan, for example ₹12,000 recovered at ₹2,000 a month over six months, and enter each instalment as an advance recovery deduction. Keep recoveries within the deduction rules, and settle any balance in the final settlement if the person leaves. Salaries go out by the 7th, advance or no advance, and the payslip shows the recovery line so nobody is surprised.
