Leave management for automobile dealerships

Dealership leave runs against the family calendar. The days staff most want off, weekends, Navratri, Dhanteras, Diwali and the wedding season, are the days customers buy. A good policy marks the busy windows a year ahead, moves long leave into the lean weeks with a clear limit on how many can be away, credits comp-off when someone works a holiday or a weekly off, and never leaves the service reception or the showroom floor short on a Sunday.

Mark the busy windows early

Dealers know their year well: a slow patch during the Shraadh fortnight in many markets, then a surge from Navratri through Dhanteras and Diwali, a year-end push in December and March, and regional peaks around Onam, Gudi Padwa, Akshaya Tritiya or Pongal. Publish these windows in January as closed for planned leave for sales and service staff. The rule sits in the leave policy and the manager's approval, backed by a longer notice requirement for earned leave so requests arrive early.

Leave capacity in the lean weeks

Lean weeks are when leave should happen, but not all at once. Suppose a showroom with 12 consultants allows at most two on leave on any weekday in June and July, and none on weekends. Over four weeks of five weekdays, that is 2 x 20 = 40 leave days available. If every consultant takes three days, the team uses 36, with four to spare for emergencies. ZeniaHR does not enforce a headcount limit, so the sales manager applies it by checking the team leave calendar before approving each request.

Comp-off when a holiday is worked

Dealerships often stay open on holidays that other businesses close for. When a consultant or technician works on a holiday or a weekly off, credit comp-off with an expiry so it is taken in the lean weeks, not saved up for a year. An expiry of 60 to 90 days suits a typical dealership. Comp-off stays a separate entry in the leave ledger, so it is always clear which days were earned by working and which were accrued.

Cover on the service reception

A service reception with four advisors cannot lose two on a Monday morning, when weekend bookings arrive. The works manager should approve advisor leave only after checking the team leave calendar for that day, and should keep one advisor trained to cover the body shop reception too. For technicians, the floor supervisor checks the bays: a technician on leave means fewer job cards that day, and the booking team should know before it confirms slots.

  1. Keep the default leave types, and give EL a longer notice period and a maximum spell, so festival-season requests come early and stay short.
  2. Pick a sandwich mode per leave type, deciding whether a weekday off between two leave days is charged for EL and for CL.

  4. Ask sales managers and the works manager to open the leave calendar in My Team and count who is already away before approving weekday leave.

How long should comp-off stay valid in a dealership?

Sixty to 90 days suits a typical dealership. It is long enough to take the day off in a quieter week after a festival, and short enough that comp-off does not pile up. Set the expiry on the comp-off credit so unused days lapse on their own.
