Notice periods tied to the semester
Many colleges ask faculty for three months' notice, or notice ending with the current semester, whichever is later, and a shorter period for non-teaching staff. The clause must be in the appointment letter to be usable. When a faculty member resigns in August, the HoD needs the notice to cover the odd semester's teaching and internal assessment, or a replacement in place before the exit. Where the management agrees to an early release, record whether the unserved notice is waived or recovered, and why.
Academic handover and clearance
The academic handover covers course files with lecture plans and coverage, internal assessment marks entered and signed, question papers set for upcoming exams, evaluation still pending, and the status of every project or PhD student the faculty member guides, with a new guide named. Lab equipment issued, library books, the quarters key, the ID card and any college laptop come back. Accounts settles any advance, and the research office transfers or closes any sponsored project where the person was principal investigator.

Final settlement for regular and fixed-term staff
Whatever the reason for leaving, wages due must be paid within two working days. A regular faculty member with five or more years of continuous service gets gratuity at 15 days' wages for each completed year. Project staff whose fixed-term post ends with the grant get gratuity pro rata, without the five-year minimum: a project assistant with last drawn wages of ₹31,200 who completes 3 years gets (₹31,200 / 26) x 15 x 3 = ₹54,000. Relieving letters, approvals and rehiring
A departing professor's new employer usually needs the relieving letter and an experience certificate, with designation, pay and exact dates, before its university will approve the appointment. Issue both promptly once clearance is signed, and inform the affiliating university where your approval process requires it. Keep exit reasons: if assistant professors in one department keep leaving within two years, that pattern belongs on the governing body's agenda. Retired professors often return as visiting faculty, so part on good terms.
