Store clearance on the last shift
Clearance at a store is physical, so do it on the last shift and not a week later by phone. The store manager counts the cash float with the leaver, collects keys, ID card, uniform and locker key, and asks for the billing login to be disabled. Full and final within two working days
When an employee leaves for any reason, wages are due within two working days. That leaves no time to chase incentive sheets. The settlement covers salary for days worked, earned leave encashment, any incentive already earned, and gratuity if the person has five years of continuous service, less recoveries such as an unpaid salary advance. Run it as an off-cycle payroll so it does not wait for the monthly run, and let leave encashment flow in as a payroll earning from the leave ledger.
Walk-outs and rehiring seasonal staff
Some associates simply stop coming. The absent alert tells the store manager the same night, but HR still needs a fixed process: call, then send a written letter asking the person to report or resign, allow a reasonable time, and record the exit with the right reason.
