Onboarding faculty and staff in colleges

A new assistant professor often joins a week before the semester and teaches from day one. College onboarding has to gather the qualification and experience records that university approval and accreditation depend on, hand over course files and the timetable, introduce campus committees and exam rules, and start a probation plan. Lab staff, office staff and project assistants need shorter routes of their own, with the same care over documents.

Records that approval and accreditation depend on

Collect the full academic record at joining, not when the university approval file is due: degree certificates and marksheets from graduation onward, NET or SET certificates, the PhD degree or provisional certificate, a list of publications with copies, experience certificates with exact dates, and the relieving letter from the last institution. Add identity and address proof, PAN, bank account details and the PF UAN. Enter qualifications and experience as structured records on the profile, because NAAC and NIRF data collection asks for them as counts and dates, not as scanned pages.

The first two weeks on campus

Give the new faculty member the course files for their subjects, with the syllabus, previous question papers, course outcomes and the teaching plan format, plus their timetable and a mentor. Walk them through exam rules for internal assessment, attendance shortage and malpractice, and introduce the committees they will join, such as anti-ragging, grievance and the IQAC. Cover the POSH policy in the first week as well: every workplace with 10 or more employees must constitute an Internal Committee, and new faculty should know who sits on it. For lab staff, safety rules and equipment logs come first.

Probation and confirmation for faculty

Faculty probation is often one or two years, long enough to see two semesters of teaching, student feedback and some research activity. The HoD reviews at the end of each semester, looking at course completion, results, feedback and department work, and recommends confirmation, extension or release before the end date. Your statutes may also need the governing body to approve confirmation. Put the decision in a letter. Keep project staff, who hold fixed-term posts, out of the confirmation process altogether.
