Onboarding for manufacturing plants

A new operator's first week decides whether they stay. Onboarding in a plant has three parts: paperwork that must be complete before the first payroll, a safety induction before anyone touches a machine, and supervised training at the station. Good onboarding collects documents through a self-service link before day one, hands over the appointment letter on the first morning, and tracks probation so confirmation is decided on time.

Documents to collect before day one

Ask joiners to fill their details and upload documents before they report, so the first morning goes on induction, not photocopies. Workers who share a phone with family can finish the form at the time office with the clerk's help. Check originals when the worker reports and return them the same day.

Day one: appointment letter and safety induction

Under the OSH Code, an appointment letter must be issued to every employee, so hand it over on the first day with the shift, wage and probation terms. Then comes safety: plant layout, emergency exits and assembly point, PPE rules, isolating a machine before cleaning it, and whom to call for first aid. Issue safety shoes, ear plugs and goggles against a signed record. No joiner goes to a machine before this induction is complete, however short-staffed the line is.

Buddy training at the station

Pair each new operator with an experienced worker on the same machine for the first one or two weeks. The supervisor signs off specific skills: start-up checks, first-piece inspection, reading the job card and safe stopping. A joiner put straight onto a production target in week one either makes scrap or quits. Keep the sign-off on record, because it is asked for when a quality complaint traces back to that station.

Probation that ends on time

Plant workers usually serve a probation of three to six months under the standing orders or appointment letter. Confirmation should be a real decision based on attendance, skill sign-off and the supervisor's rating, not a date that passed without anyone noticing. Remind the supervisor before the end date, collect a rating, then confirm with a letter, extend with a reason, or record non-confirmation. Workers left unsure of their status for months raise it at the next wage negotiation.

How to set it up in ZeniaHR

  1. Put the company-branded self-onboarding QR code at the gate; joiners fill details in English, Hindi or Gujarati and upload their documents.
  2. Set the document checklist for plant roles, including ITI certificate, bank proof and previous UAN, so HR sees what is missing.
  3. Approve, reject or ask for changes on each submission; approval creates the employee record with department, designation and reporting manager.
  4. Use the HR letter library for the appointment letter and save the signed copy in the worker's documents.
  5. Enrol every joiner in a mandatory safety induction program in Learning before assigning a shift roster.
  6. In the work terms policy, set probation months for operators, reminder days and a manager review before confirmation.

Frequently asked questions

What documents are needed to join a factory job?

Plants usually ask for Aadhaar, PAN, bank account proof, ITI or educational certificates, an experience letter if any, the UAN from a past employer, photographs and nominee details. Collect them before the first day through an onboarding link, then check the originals at the time office when the worker reports.

How long is probation for factory workers?

Probation for plant workers is set by the standing orders or the appointment letter, often three to six months. Use it to judge attendance, skill sign-off at the machine and the supervisor's rating. At the end, confirm in writing, extend with a reason, or record non-confirmation. Read more on the probation period.

Is an appointment letter mandatory for factory workers?

Yes. Under the OSH Code, an appointment letter must be issued to every employee, including shop floor workers. It should state designation, wage, shift and probation terms. Hand it over on the first day and keep a copy in the worker's file, because it is the first document asked for in any dispute about terms.
