Before day one: documents and a medical baseline
Collect documents through a self-service link: identity, qualifications, experience letters, bank details and nominees. For roles with chemical exposure, a pre-employment medical examination records the joiner's baseline health, against which later periodic checks are compared. Schedule it before the joining date so the joiner is not held at the gate on the first morning.
- ITI, diploma or degree certificates
- Experience letters from previous plants
- Pre-employment medical report
- Spectacle prescription if safety glasses need lenses
- Bank, PAN, Aadhaar and nominee details
The first two days: induction and PPE
Induction covers the plant layout, hazardous areas, emergency alarms and what each means, escape routes, assembly points, wind direction indicators, the permit system, and the safety data sheets for chemicals in the joiner's unit. PPE is issued and fitted: helmet, safety shoes, goggles, gloves suited to the chemicals, and a respiratory protection briefing where relevant. The joiner takes part in a mock drill within the first month.
Supervised duty before working alone
New operators work alongside an experienced operator for a set period, often several weeks, before independent duty. The shift in-charge signs off tasks one by one: taking samples, charging a reactor, lining up a pump, handling a small spill. Only after sign-off does the new operator count toward the crew minimum. Until then they are an extra on the shift, never a replacement for someone on leave.
Probation and confirmation
Probation in chemical plants often lasts six months for operators and engineers. Confirmation should weigh safety behaviour as well as skill: PPE compliance, near misses reported, permit discipline. Send the shift in-charge a reminder ahead of the end date and get a rating; the outcome is then a confirmation letter, an extension with reasons, or non-confirmation on record. Extending probation over a safety concern is better than confirming someone the crew does not yet trust.
How to set it up in ZeniaHR
- Send joiners the self-onboarding link or QR code, in English, Hindi or Gujarati, to fill details and upload documents.
- Add the pre-employment medical report to the document checklist for exposure roles and verify it before the joining date.
- Approval creates the employee record; assign department, shift and reporting manager on the same day.
- Enrol joiners in mandatory induction, SDS awareness and emergency response programs in Learning before plant entry.
- Fix probation length per employment type in the work terms policy, and make a manager review mandatory before any confirmation.
- Use Probation & Confirmation to confirm, extend by N months with a reason, or record not confirmed.

What medical tests are done before joining a chemical plant?
It depends on the substances in the joiner's unit. A pre-employment medical usually covers general fitness and may include lung function, blood tests and vision, as advised by the factory medical officer. The report becomes the baseline for later periodic checks. Confirm the tests for your processes with your medical officer and your state rules.
How long before a new operator works alone in a chemical plant?
Only after the shift in-charge signs off each key task, which usually takes several weeks of supervised duty. Until then the new operator works as an extra alongside an experienced operator and does not count toward the crew minimum. Record the sign-off, since it will be asked for after any incident.
What PPE is issued to new chemical plant workers?
Standard issue includes a safety helmet, safety shoes, goggles or a face shield, and gloves suited to the chemicals handled, with coveralls where needed. Workers in some units also receive respiratory protection and training in its use. Record every item issued against a signature and replace worn items on a schedule.
