Attendance management for diagnostic labs

A diagnostic lab has three kinds of workplace, and attendance has to work in all of them: the processing lab with one entrance, collection centres with one or two staff each, and home collection phlebotomists whose day starts at a patient's door. Good lab attendance catches a late opening before patients queue, records field staff at the start and end of their day, and closes the month with correct payable days for every site.

Processing lab, collection centre and the road

At the processing lab, a biometric device at the entrance works well, and if it pushes punches over ADMS they reach ZeniaHR without anyone exporting files. At collection centres, a tablet on the registration desk running Kiosk Punch is simpler: the tablet shows a QR code that refreshes every 30 seconds, staff scan it from the ZeniaHR app or key in the typed code, and the kiosk is linked to that centre's check-in spot. Home collection staff punch from the mobile app with GPS location on the punch, either restricted to their hub as a check-in spot or allowed from anywhere with the location recorded.

Phone binding closes the easiest loophole. The first phone an employee uses is approved automatically, and any new phone waits for HR approval, so a colleague cannot punch for someone who is still on the way to the centre or who has not come in at all.

A late opening is a queue, not a statistic

Fasting patients start arriving before the shutter opens. When the phlebotomist rostered 6:45 am to 2:45 pm reaches at 7:10, the queue is already out of the door and the first pickup cut-off is at risk. The useful response is immediate: because the attendance rules are on, a late alert goes to her and her reporting manager, and the live board shows which centres have nobody punched in yet, so the area supervisor can send a floater straight away.

Deductions still matter for repeat lateness. Give the opening shift little or no grace, allow a couple of free late marks a month, then deduct half a day for every few late marks beyond that, with a monthly penalty cap. Home collection days and on-duty requests

A home collection phlebotomist might punch in at 6:05 am at her first address in Madhapur and punch out at 12:30 pm after handing samples to the runner. On a day she works a corporate health camp at a client's office instead, she raises an on-duty request, so the day is not marked absent if her punches are missing or made elsewhere. Visit counts, slot punctuality and cancellations come from your booking system, not from attendance; HR takes the monthly count from there for incentives.

Corrections, cut-offs and month close

Missed punches are common when a centre is busy from the first minute. The missed punch-out alert 60 minutes after shift end prompts the phlebotomist to raise a correction the same day, and it goes to the area supervisor, then HR. The corrected day keeps the original punches on record. Set a monthly limit on corrections, review the absence grid by department and day to see where cover breaks down, and close the month by the 3rd so the attendance that payroll uses is frozen.

How to set it up in ZeniaHR

  1. Create the processing lab and each collection centre as a location, and group staff into departments such as collection, home collection, processing and front office.
  2. Register biometric devices at the lab over ADMS, and set up a Kiosk Punch tablet with a check-in spot at each collection centre.
