Attendance management for e-commerce companies

An e-commerce company marks attendance in three different places. Warehouse associates punch at a gate device at shift change, delivery associates check in at the hub before the first route and out after cash settlement, and corporate staff punch from the office network or work from home. Good attendance here uses the right capture method for each group, one set of rules tuned through each shift's own grace, and a single month close for payroll.

Three capture methods, one punch stream

Warehouses suit biometric devices at the gate or floor entry, pushing punches over ADMS. Delivery hubs suit a kiosk tablet at the hub desk, where associates scan a QR code that refreshes every 30 seconds from the ZeniaHR app, or type the code if the camera fails. Corporate staff punch from the web on the office network. All of these land in one punch stream, repeat punches within 60 seconds are ignored, and HR sees the whole company on one live board, filtered by department and shift.

Delivery associates: punch at the hub, not on the road

A delivery associate's day starts at the hub with the morning briefing and load-out, and ends back at the hub after returns and cash are handed in. Tie each hub's kiosk to its check-in spot, and bind the associate's app to one approved phone so a friend cannot punch for them. Set the no punch-out rule to count hours to shift end, so an associate who forgets to punch out after a late last delivery is not marked half day for it. ZeniaHR records where a punch happened, not the route in between; route and delivery data stay in your delivery app.

Grace by shift, not one rule for everyone

A packer 10 minutes late on a 6 am dispatch shift holds up a truck; a catalogue executive 10 minutes late to the office holds up nothing. Grace in and out is set on each shift, so the warehouse Morning shift can carry 5 minutes and the office General shift 15, under the same company attendance rules. Early-out marks matter more in the warehouse, where a packer leaving at 1:30 pm on a 6 am to 2 pm shift leaves the last pick wave short. The monthly penalty cap keeps one bad week in the sale from wiping out a month's pay.

Closing the month across sites

With dozens of hubs, missed punches pile up fast. Missed punch-out alerts reach the associate and the hub in-charge 60 minutes after shift end, and corrections go through the reporting manager and then HR within your monthly and back-date limits. In the last days of the month, the HR team checks the absence grid by department in Attendance Analytics, clears open corrections and closes the month. Paid days then flow to Direct Payroll for every site in one step.

How to set it up in ZeniaHR

  1. Create warehouses, hubs, dark stores and offices as locations, and functions such as inbound, outbound or last mile as departments.
  2. Connect warehouse gate biometrics over ADMS and set up a kiosk for each hub, tied to that hub's check-in spot.
  3. Turn on phone binding and a mobile location rule so delivery associates punch only from approved phones at the hub.
  4. Set grace in and out on each shift, tighter for warehouse shifts and looser for the office General shift.
  5. Choose how a missing punch-out is treated, such as hours to shift end, and set correction limits per month.
  6. Close the attendance month for all sites together before the payroll run.

Frequently asked questions

How do e-commerce warehouses track attendance?

Usually with biometric devices at the gate or floor entry, judged against each associate's rostered shift. In ZeniaHR, devices push punches over ADMS into one punch stream, grace is set per shift, and late marks, early-outs and half days follow the attendance rules. Supervisors see who is in, late or not in yet on the live board, filtered by shift.

How do delivery associates mark attendance?

They check in at the delivery hub before the first route and check out after returning cash and undelivered parcels. A kiosk tablet at the hub displays a code that refreshes every half minute, and associates punch by scanning it with the app on their approved phone. The punch records the hub, not the route travelled.

What if a delivery associate forgets to punch out?

An hour after the shift ends without a punch-out, ZeniaHR alerts both the associate and the hub in-charge, and the associate can then raise an attendance correction for approval. You can also set the no punch-out rule to count hours to shift end instead of marking a half day, which suits days with a late last delivery.
