Staff punches are not member check-ins
Your gym software already logs members at the door. Staff attendance should be separate, because it drives salary. A Kiosk Punch tablet at reception works well for a small team: it puts up a fresh QR code every 30 seconds, trainers scan it from the ZeniaHR app on their phones, and a short typed code covers phones whose camera will not read it. Phone binding means a trainer cannot mark attendance for a friend from a second handset without HR approving that phone.
The 5:30 am opener
If the opener is late, members wait outside a locked door in the dark. Start the opening shift 15 minutes before doors open, with no grace, and keep the attendance rules on, so a late alert tells the opener and the club manager early that a backup may be needed. Later shifts can have a normal grace. Use a few free late marks and a monthly penalty cap in the attendance rules, so a trainer who is late twice after a 10 pm class is treated differently from one who is late every week.
Split shifts and four punches
A trainer rostered 6 am to 10 am and 5 pm to 9 pm punches in and out twice. ZeniaHR supports split shifts with two windows, so the roster and the day grid show both parts of the day. If the trainer forgets to punch out at 10 am, she raises a missed check-out correction the same day; it goes to the club manager and then HR, and the original punches stay on record. Set a monthly limit on corrections so four-punch days do not turn into guesswork.
Home PT sessions and outside events
Personal trainers who train clients at home or in a housing society's clubhouse should punch from the mobile app with location, or raise an on-duty request for the day. The same applies to trainers sent to a corporate wellness session or a marathon training camp. Session counts still come from your member software; attendance only records that the trainer was working, and where the punch was made.
Closing the month
Close the month after the club manager clears pending corrections and overtime, usually by the 2nd. Finalizing freezes attendance for payroll, and session payouts are worked out from the member software at the same time, so both sets of numbers describe the same month. If a mistake appears later, HR can reopen the month with a written reason instead of patching payroll by hand.
