Overtime in e-commerce warehouses

Overtime in an e-commerce warehouse is seasonal and heavy. In sale weeks, associates stay back to clear the pick backlog, trucks arrive late and inbound runs past midnight, and weekly offs are worked. That is manageable when every extra hour is agreed to, taken from punches rather than memory, signed off by the shift supervisor, paid at double the ordinary wage and kept under a cap. Without those controls, the post-sale payroll turns into a week of disputes.

Where overtime comes from in fulfilment

Most warehouse overtime can be seen coming. Sale dates are known months ahead, and the forecast shows which days will run over. Put the expected extra hours into the plan with consent, and keep unplanned overtime for genuine surprises, so associates know which evenings they may be asked to stay and can arrange their travel home.

Consent, the legal rate and the cap

Under the OSH Code, work beyond the prescribed hours is overtime, which a warehouse can only ask for with the worker's consent and must pay at twice the ordinary wage rate. The ordinary working day is capped at eight hours, while breaks, spread-over and weekly hours are limited by government notification, so a long sale week has to be checked against those limits, not only against the budget. In ZeniaHR, keep every overtime multiplier at 2 or above and set a monthly cap per associate. The cap also protects safety: a tired forklift operator in the eleventh hour is a risk to everyone on the floor.

Worked example: a sale week on the packing line

Lakshmi is a packer with a monthly gross of ₹18,720. Her company works out the gross day rate on a 26-day basis, which gives ₹720, so her hourly rate is ₹720 divided by 8, or ₹90. In sale week she stays 2 hours 20 minutes after her shift on six days. Rounded down to 15-minute blocks, each stay counts as 2 hours 15 minutes, so the week has 13.5 hours. Doubled for overtime, that comes to ₹90 x 13.5 x 2 = ₹2,430 on top of her month's pay. ZeniaHR picks up these hours from her punches overnight.

Approving hundreds of lines after a peak night

A large warehouse can generate hundreds of overtime lines a night in sale week. Shift supervisors approve their own team's lines in My Team, and HR comes next, bulk approving the lines that match the plan. Query lines that do not match a known backlog, such as one associate with four hours on a quiet night. After the peak, compare overtime cost per site with the extra orders shipped; that number shapes next year's hiring plan more than any forecast.

How to set it up in ZeniaHR

  1. Turn on overtime for warehouse sites, with extra time counted from the end of each rostered shift.
  2. Hold the weekday, weekly off and holiday multipliers at no less than 2, with pay as the default payout.
  3. Keep approval on: the shift supervisor signs off each line first, then HR clears the rest in bulk the next morning.
  4. Limit overtime hours per associate per month, keeping within the notified weekly hours.
  5. After each sale, compare approved overtime at each site with the volumes it shipped.

Frequently asked questions

How is overtime paid to warehouse workers in India?

At twice the ordinary wage rate. Under the OSH Code, hours beyond the prescribed limit count as overtime, and the worker has to agree to them. Take the gross day rate, split it into 8 hourly parts, and multiply one part by the approved hours and by 2. For a ₹720 day rate, 3 hours of overtime pay ₹90 x 3 x 2 = ₹540.

Can a warehouse make overtime compulsory during a sale?

Overtime requires the worker's consent under the OSH Code, so it should be requested, not ordered. Plan the sale with enough peak hires that overtime covers surprises rather than the base load, record consent, and keep hours within the notified daily and weekly limits. A monthly cap per associate helps keep peak weeks safe.

How do you approve overtime for a large warehouse team?

Let shift supervisors approve their own team's overtime first, then have HR review the rest and bulk approve lines that match the plan, querying the outliers. In ZeniaHR, overtime is detected nightly from punches, approval runs manager then HR, and approved hours reach payroll as an earning or a comp-off credit.
