Gate punch first, then the hygiene room
Workers punch at the gate, then remove jewellery, wash hands, put on caps, masks, aprons and gloves, and walk through a footbath before entering production. Decide whether the shift starts at the gate or at the line, and set grace to match. A worker who punches at 6:58 am for a 7 am line start will reach the line late after the hygiene routine. Many units ask workers to punch 10 minutes before the line starts and pay from the punch.
When fingerprints fail
Line workers who handle wet produce, brine, flour or chilli powder often have worn, cracked or wet fingertips, and biometric readers reject them. Do not let this turn into a queue at the gate every morning. Keep a kiosk tablet whose QR code changes every 30 seconds for workers who carry phones, and let the time office record a punch with a reason for the few who cannot punch either way. Review manual punches weekly so they stay the exception.
Seasonal and daily-rated workers
Seasonal workers join in waves and may stay only 8 to 12 weeks. Put them on the roster from their first day so every punch is judged against a shift, and keep their records as clean as those of permanent staff, because their pay is days worked times the daily rate. A missed punch-out for a daily-rated worker is a wage question the same day, not at month end.
- Absent alerts at night so supervisors can call no-shows before morning
- An alert to worker and supervisor 60 minutes after shift end when no punch-out is recorded
- A morning look at who is not in yet on the live board
- Half-day rules for late arrivals, written in plain words
Worked example: a seasonal packer's May
Lakshmi, a packer hired for the mango season at a Krishnagiri pulp unit, is rostered for 26 days in May. She is present on 24 of them, but on 2 of those she arrives more than 2 hours late and the unit's rule marks them as half days. She is absent on the other 2. Her payable days are 22 full days plus 2 half days, which is 23 days. At a daily rate of ₹480, her wages for May are ₹11,040.
How to set it up in ZeniaHR
- Link the gate biometric so it pushes punches over ADMS (iclock); where it cannot, bring punches in through Excel import.
- Create line shifts in Shifts & Roster with start times that allow for the hygiene routine, and set matching grace in the attendance rules.
- Mount a kiosk tablet at the gate, showing the changing QR code and typed code, for workers whose fingerprints the reader rejects.
- Let the time office record a punch with a reason only for workers who cannot use either method, and review those weekly.
- Assign seasonal workers to rosters in bulk as each batch joins, so every punch is read against a shift.
- Finalize the attendance month in the first days of the next month so daily-rated wages can be paid by the 7th.

How do food factories handle biometric problems with wet or worn fingers?
Keep an alternative ready. Workers with phones can punch at a kiosk tablet showing a rotating QR code, and the time office can record a punch with a reason for the few who cannot use either method. Review manual punches weekly so they stay rare and do not become a way around the attendance rules.
Should hygiene changing time count as working time?
If workers must arrive early to change, wash and put on protective clothing before the line starts, count that time or build it into the shift. Many units ask workers to punch 10 minutes before the line starts and treat the shift as starting at the punch. Write the rule down so late marks and pay follow the same start time.
How is attendance for seasonal workers linked to pay?
Seasonal and daily-rated workers are usually paid for days worked, so their attendance must be exact. Each day present is paid, half days follow your attendance rules, and absences are unpaid. Finalize their attendance month promptly, because their wages depend on it directly and fall due by the 7th of the next month.
