Why food plants run over
Some of these causes can be planned away. If the line runs an hour over every day for cleaning, the cleaning belongs inside the shift or in a separate cleaning crew's shift, not in daily overtime that everyone has come to count on. Late produce is harder, but an evening shift during the peak costs less than nightly overtime.
- Late produce arrivals that cannot be held overnight
- Cleaning and sanitation after the final batch
- Festive and seasonal order peaks
- Late reefer trucks at the dispatch bay
- Refrigeration or boiler breakdowns
Consent, safe travel and women workers
Overtime is work beyond the prescribed hours; it needs the worker's consent and is paid at twice the ordinary wage rate. Many line workers in food units are women who come from villages by shared transport, so a sudden request to stay until 11 pm may be neither safe nor possible. Ask early in the day, record consent, and arrange transport for late finishes. Night work by women needs their consent and the safety conditions set by the government.
Worked example: a daily-rated worker's overtime
Ravi, a line worker at a Nashik tomato processing unit, is paid ₹520 a day. His monthly gross is set at ₹13,520 and divided on a fixed 26-day basis, giving a day rate of ₹520 and an hourly rate of ₹65. During the peak fortnight he works 3 hours of approved overtime on 6 evenings, 18 hours in all. At twice the hourly rate, ₹130 an hour, his overtime earning is ₹2,340, paid with that month's wages.
Paying seasonal overtime on time
Seasonal workers keep track of every hour and talk about it at the gate. Approve overtime the next morning, not at month end, so any dispute is settled while the evening is fresh in everyone's mind. Pay overtime in the same month's payroll. For workers leaving at the end of the season, include their last overtime in the final settlement, which is due within two working days of the last day.
How to set it up in ZeniaHR
- Configure overtime to count from shift end, with 30 minutes as the minimum, rounding down in 15-minute steps, and approval required.
- Keep multipliers at 2 or above for working days, weekly offs and holidays, and set a monthly cap per worker.
- Set the payout to pay, or to the employee's choice so permanent staff can take comp-off while seasonal workers take pay.
- Supervisors approve the previous evening's overtime in My Team each morning, and HR approves after them.
- Bulk approve a whole line's overtime after a planned late arrival, and reject hours that have no reason.
- Include approved overtime in each seasonal leaver's off-cycle settlement run.

How is overtime paid in food processing units?
Overtime is paid at twice the ordinary wage rate, for work beyond the prescribed hours done with the worker's consent. For a daily-rated worker earning ₹520 for an 8-hour day, the ordinary hourly rate is ₹65 and each overtime hour pays ₹130. Approve overtime daily and pay it in the same month's payroll.
Can women line workers be asked to work late?
They can be asked, and they may agree, but overtime needs the worker's consent, and night work by women needs their consent plus the safety conditions set by the government. Ask early in the day, record consent, and arrange safe transport for late finishes, especially for workers who travel from nearby villages.
How can a food plant reduce daily overtime?
Look at what causes it. Cleaning that always runs past shift end belongs inside a shift or with a separate cleaning crew. Late produce arrivals can be managed through procurement timing and an evening shift during peaks. Review approved overtime by department each month and act on the biggest cause first.
