Documents and verification before arrival
Joiners travelling from another state can finish their paperwork before they board the train. The company's self-onboarding QR code opens a form, in English, Hindi or Gujarati, for personal, family, bank, education and experience details and document uploads. HR reviews each submission, sends it back if something is missing, and the approved submission becomes the employee record. Many hotels also run police verification for staff with access to guest rooms and cash, and F&B and kitchen joiners should bring a medical fitness certificate. Day one includes the appointment letter the OSH Code requires for everyone.
Induction: guests, safety and standards
Keep the hotel-wide induction to one day, then hand the joiner to their department for standards training with a buddy. A room attendant spends the first week cleaning alongside a senior attendant; a front desk agent shadows check-ins before taking one alone. Record each induction module as a program in Learning, so the training manager can see who has finished before the joiner works a shift unsupervised.

- Guest privacy: never confirming a guest's room number or presence to a caller

Staff quarters and seasonal joiners
For staff who live on site, allot the room on the day they arrive and keep the allotment in their documents. Explain the house rules for the quarters, meals in the staff cafeteria and any recovery agreed in writing. Seasonal joiners at a resort arrive in a wave, many in the same week, so add them through quick add or bulk import, send the onboarding link before they travel, and run induction in batches rather than one by one.
Probation in a hotel
Probation should show whether a joiner holds standards on a full house night, not only on a quiet afternoon. Six months suits permanent staff, and fixed-term seasonal staff may not need a probation at all. Since probation months follow the employment type in ZeniaHR, seasonal contracts can carry their own setting. Keep the manager review mandatory and think twice before switching on auto-confirm: a head of department's 1 to 5 score and written remarks are worth more than a silent confirmation. Where doubts remain, extend by a month or two with the reason written down.
How to set it up in ZeniaHR
- Set the onboarding document checklist per department, adding medical fitness for F&B and kitchen roles and police verification where your policy asks for it.
- Send the self-onboarding QR code before joining, and use bulk import or quick add for seasonal joiners who arrive together.
- Approve each submission to create the employee, then assign property, department, designation and head of department.
- Issue appointment letters from the HR letter library, and store quarters allotments in each employee's documents.
- Enrol joiners in induction, fire safety and their department's programs in Learning.
- In the work terms policy, give each employment type its probation length and keep the manager review switched on.

What documents do hotels collect from new employees?
Identity and address proof, PAN, bank details, photos, education and hotel management certificates, previous employment letters and emergency contacts. Food handlers add a medical fitness certificate, and many hotels run police verification for staff with room or cash access. Collect them through self-onboarding before arrival, and issue an appointment letter on day one.
What should hotel induction training include?
Fire and life safety, the property tour and assembly points, guest privacy, key control, grooming and uniform, the department's standard operating procedures and the POSH policy. After a one-day hotel induction, pair the joiner with a buddy in their department for their first shifts.
Do seasonal hotel staff need probation?
Not always. A fixed-term seasonal contract is short, and many properties skip probation and review performance at the end of the season instead. If you do use probation for seasonal staff, keep it short and write it into the appointment letter. Permanent staff usually serve three to six months.
