Paperwork before the first shift
Send each selected candidate the company's self-onboarding link or QR code, which works in English, Hindi and Gujarati. They fill personal, address, family, bank, education and experience details and upload their documents from their phone. HR checks the uploads against the document checklist and approves, rejects or asks for changes, and approval creates the employee record. An appointment letter must be issued to every employee under the OSH Code, so issue it from the HR letter library on or before day one.
- Identity and address proof
- PAN card and bank account proof
- Passport-size photo for the staff ID card
- Education and training certificates
- Relieving letter from the last employer, if any
- Police verification for cashiers, if your policy asks for it
The first three days in the store
Day one covers the store tour, fire exits and assembly point, uniform and grooming standards, locker and staff entry rules, and how to punch in. Day two is product knowledge for the joiner's section and shadowing a senior associate on the floor. Day three is billing and cash for cashiers, and returns, exchanges and loyalty sign-ups for everyone. ZeniaHR posts new joiners on the Company Wall automatically, so the team knows the name before the person walks in.
Probation for store roles
Three months of probation is common for associates and cashiers, and six months for store managers who handle cash, stock and people. ZeniaHR sets probation months by employment type in the work terms policy, so group roles accordingly. It queues everyone whose probation ends soon, reminds HR and the store manager daily, and asks the manager for a review, a rating from 1 to 5 with a comment. HR then confirms with a confirmation letter saved to the employee's documents, extends by a set number of months with a reason, or records not confirmed.
How to set it up in ZeniaHR
- In the onboarding document checklist, list what each store role needs, including police verification for cashiers if your policy asks for it.
- Share the self-onboarding QR code with selected candidates, so they fill details and upload documents in English, Hindi or Gujarati.
- Approve or return each submission; approval creates the employee, then assign the store branch, designation and store manager as reporting manager.
- Issue the appointment letter from the HR letter library and save it to the employee's documents before the first shift.
- In the work terms policy, set probation months by employment type and require a manager review before confirmation.
- Enrol every joiner in the induction and billing programs in Learning, so the store manager can see what is complete.

What documents are needed to join a retail store job?
Usually identity and address proof, PAN, bank account details, a photo, education certificates and a relieving letter if the person has worked before. Some chains also ask for police verification for cashiers and stock roles. Collect everything through a self-onboarding link before day one, so the joiner can be paid correctly in their first month.
Is an appointment letter required for retail staff?
Yes. Under the OSH Code, an appointment letter must be issued to every employee, including store associates, cashiers and fixed-term festival staff. It should state the role, store, wages, working hours, probation and notice. Issuing it on day one also avoids later disputes about what the person was promised at interview.
How long should probation be for store employees?
Three months is common for associates and cashiers, and six months for store managers who handle cash, stock and a team. Whatever you choose, write it in the appointment letter, remind the store manager before it ends, and confirm, extend or end it on time instead of letting it run on without a decision.
