Training and certification for warehouse staff

Warehouse training has one hard rule and one soft goal. The hard rule: nobody operates a forklift or reach truck, handles hazardous goods or leads a fire evacuation without current training. The soft goal: pickers and loaders who are trained on the warehouse system and on more than one role make the peak easier. Good practice is a short mandatory list with a validity period for each item, and a refresher plan checked before every peak.

The mandatory list for a warehouse

Write down which training each role needs before it can be rostered. The list is usually short, but it has to be complete and current, because an auditor from a client or an insurer will ask for it. Review it whenever a new client, product line or type of equipment arrives.

Validity dates and refreshers

Every mandatory program needs a validity period, such as 12 months for MHE refreshers. In ZeniaHR's Learning module, marking a person complete records the completion and issues a certificate number, and the compliance view for each program shows who has completed it. Add the validity to each completion date to get the refresher due date, and keep those dates on a simple refresher calendar that shift in-charges check before drafting the next roster.

Plan refreshers for July and August, before the festive peak, and after any incident. Use the waived status for people who genuinely do not need a program, such as office staff and the MHE course, so the compliance view shows real gaps rather than noise.

Skill training that pays back in peak season

Cross-train packers to pick and loaders to pack, so the site can move people between stations when orders spike. Train promising loaders as reach truck operators; it gives them a career path and gives you operators who already know your racking. Teach every new picker the handheld scanner and the warehouse system on the first day. Shift in-charges benefit most from training in handling people: how to give feedback at shift start, handle a late arrival and settle a dispute between loaders without HR.

How to set it up in ZeniaHR

  1. Create each program in Learning, such as a reach truck operator refresher, with its mode, hours, mandatory flag and a validity of 12 months.
  2. Enrol every operator and mark each one complete after the practical assessment, which records the completion with a certificate number.
  3. Before drafting rosters, check the compliance view and your refresher calendar, and keep anyone whose MHE refresher is overdue off operator shifts.
  4. Use the waived status for employees who do not need a program, so the compliance view shows only real gaps.
  5. Announce fire drill dates on the Company Wall to each warehouse as an announcement that requires acknowledgement.

Frequently asked questions

What safety training do warehouse workers need?

At a minimum, a floor safety induction, manual handling, fire safety and evacuation, and PPE use for everyone, plus MHE operator training for anyone driving equipment and hazardous goods handling where relevant. Add first aid for named people on each shift. Keep a record with dates, because clients and insurers ask for it.

How often should forklift operators be retrained?

Most warehouses run an operator refresher every year, plus retraining after any incident, a near miss or the arrival of a new type of equipment. Set the validity in months for each program, work out each operator's due date from his completion date, and check it before every roster, so no one with lapsed training is put on an operator shift.

How can HR plan training refreshers for warehouse staff?

Give each program a validity in months and mark people complete when they finish, which records the completion with a certificate number. The compliance view shows who has completed each program. Add the validity to each completion date, list the due dates on a refresher calendar, and book sessions a month before they fall due.
