HRMS for manufacturing plants

A manufacturing plant runs on the shift bell. Operators, fitters and helpers punch in at the security gate for the A, B and C shifts, the general shift runs stores and the plant office, and the production plan decides who stays back for overtime. An engineering or auto components plant in Chakan, Sriperumbudur or Rajkot may have a few hundred workers across three shifts, a time office matching biometric punches to the muster, and a payroll that depends on overtime hours, shift allowances and loss of pay being right. HR also plans the annual maintenance shutdown, keeps safety training current and handles a steady flow of ITI apprentices and trainees. Errors travel fast: one wrong overtime entry is known across the shop floor by the next tea break.

Who works in manufacturing plants

Machine operators and settersCNC, VMC, press and moulding operators on the A, B and C shifts, usually rotating every week or fortnight.
Fitters, welders and assemblersAssembly line and fabrication shop workers whose hours follow line targets, with extra hours on dispatch days.
Shift supervisors and line in-chargesRun each shift, approve gate passes and overtime, and sign the shift production report before handover.
Quality inspectorsIncoming, in-process and final inspection staff who must be on duty whenever the line runs, including the C shift.
Maintenance techniciansElectricians and mechanical fitters on shift for breakdowns, with long days during preventive maintenance and the annual shutdown.
Stores, dispatch and material handlingStorekeepers, forklift operators and loaders whose busiest days fall at month end, when trucks wait at the dock.
Plant office staffProduction planning, purchase, accounts, HR and the time office on the general shift, six days a week.

HR challenges in manufacturing plants

Gate punches that ignore the shift

Workers punch at the security gate, not at the machine. A punch at 5:52 am for the 6 am A shift and one at 6:20 am look alike in a muster unless each punch is read against the rostered shift, its grace minutes and the C shift that ends the next morning.

Overtime decided at 4 pm

Production asks the B shift to stay till midnight because a customer truck is booked. If consent and approval are not recorded, payroll pays whatever the punches show, disputes follow, and overtime slowly becomes a fixed part of take-home pay. At twice the ordinary wage rate, unmanaged hours are expensive.

Rotation and staggered weekly offs

Operators rotate A, B and C shifts, and many industrial estates keep a weekday off, such as Thursday, instead of Sunday. When one line works Sunday and another rests, a roster kept in Excel breaks the first time two workers swap.

Shutdowns that need a clear rule

The Diwali shutdown or annual maintenance week has to be announced early, treated as paid holiday or earned leave as your standing orders say, and handled separately for the maintenance crew that works through it.

Payroll inputs from five places

Shift allowance, attendance bonus, production incentive, overtime, canteen recovery and loss of pay all arrive in the same week from the time office, supervisors and accounts. Wages must still be paid by the 7th of the following month.

Safety training that lapses

Forklift authorisation, first aid, fire drill and machine-specific training all have renewal dates. A paper register shows the lapse only when an auditor asks or an incident report names an untrained operator.

Frequently asked questions

What should a manufacturing plant look for in HR software?

Start with shift attendance and overtime. The software should read biometric gate punches against each worker's rostered shift, handle a C shift that ends the next morning, detect overtime from punches with supervisor approval, and pass finalized paid days to payroll. Then check earned leave rules, plant-wise holiday lists, training expiry tracking and statutory reports for PF and ESI.

Can ZeniaHR take punches from our existing biometric machines?

Yes, when the devices can push punches over ADMS (iclock). ZeniaHR also accepts Excel attendance imports and eTimeOffice sync. All three feed one punch stream, and duplicate punches within 60 seconds are dropped, so a worker who presses a finger twice at the gate is counted once.

How do factories calculate overtime pay?

Overtime is work beyond the prescribed hours, paid at twice the ordinary wage rate and done with the worker's consent. The time office takes the extra hours from punches, the supervisor approves them, and payroll pays them at double the hourly rate. For a worker whose ordinary hourly rate is ₹100, three approved hours pay ₹600.

Is ZeniaHR free for a small factory?

ZeniaHR is free for your first 50 employees. A small ancillary unit or job-work shop can set up its shifts, connect the gate biometric, run leave and close payroll within that limit, and keep the same setup as headcount grows.
