Leave management for media and advertising agencies

Leave in an agency is shaped by clients, not the calendar. A campaign launch, a pitch or a festive shoot can land in any week, and an account cannot be left without cover. At the same time, agencies run on comp-off, because weekend shoots and pitch nights happen constantly. Good leave management keeps the two people who know an account from being away together, asks for notice before campaign peaks, and makes sure comp-off is taken before it expires.

Comp-off is the real leave currency in agencies

Comp-off often matters more than earned leave in an agency. A Saturday shoot, a Sunday pitch rehearsal or a festival spent watching a live campaign all earn it. Each worked weekly off or holiday is credited by HR as comp-off that expires after a set period. The risk is that comp-off piles up and lapses because the next deadline always feels more important. Review unused credits every month with each team head, and block time for people to take them in the week after a launch.

Worked example: a pitch weekend

Ananya, a copywriter, works 9 hours on Saturday and 5 hours on Sunday, both weekly offs, to finish a pitch. If your policy converts the hours, with 8 hours for a full day and 4 for half a day, Saturday earns a full day and Sunday half a day, 1.5 days in all, each credit with an expiry date. My Self-Service shows her the credits and when they lapse. Her creative director approves leave for the Friday after the pitch, and she takes the rest before the credits run out.

Cover on every client account

Each account usually has two or three people who know it well: the account manager, the copy and art pair and the digital lead. They should not all be on leave together, especially in launch weeks. ZeniaHR has no account-level leave rule, so group each account's core team under the same reporting manager where you can, and ask approvers to look at the team leave calendar before saying yes. One written rule in the leave policy, that one of the two leads is always reachable, avoids most client complaints.

Campaign season and notice for long leave

Festive campaigns are planned from July and produced through September, and agencies often peak again around big cricket tournaments and in the January to March rush before financial year-end. Set a notice rule for earned leave, for example 21 days, and cap days per application so a three-week trip is discussed early. In peak months, managers weigh each request against launch dates. Outside the peaks, encourage real breaks; creative burnout shows in the work long before it shows in attendance.

How to set it up in ZeniaHR

  1. Choose how long comp-off stays valid, let HR credit it for every weekly off or holiday worked, and check unused credits each month.
  2. If extra hours convert through the overtime policy, a half day needs 4 hours and a full day 8.
  3. Give earned leave a notice period and a cap on days per request, so long trips are planned before campaign peaks.
  4. Group each account's core team under the same reporting manager so one approver sees the whole account.
  5. Before approving leave in a launch week, approvers look at who else is off on the team leave calendar.

Frequently asked questions

How does comp-off work in advertising agencies?

Anyone who gives up a weekly off or a holiday for a shoot, a pitch or a live campaign earns a day off in return, to be used within a set period. In ZeniaHR, HR records each credit with its expiry date, and approved overtime can also be converted to comp-off by hours. A monthly look at unused credits stops them lapsing.

How do agencies plan leave around campaign launches?

They share launch and pitch dates early, ask for longer notice for earned leave, and make sure two people who know each account are not away together. Approvers check the team calendar before saying yes. After a launch, teams are encouraged to take their comp-off and leave while the workload is lighter.

What leave policy suits a creative agency?

Casual, sick and earned leave credited every month, a clear comp-off rule for weekend and holiday work, notice rules for long leave, and a written expectation of account cover. Optional holidays help a team drawn from many states. Keep the rules simple and apply them the same way to creative, account and production staff.
