Mandatory training for every staff member
Safeguarding comes first: what the policy says, how to behave with children and vulnerable adults, how to take photographs and stories only with consent, and how to report a concern. POSH awareness covers the Internal Committee, which every workplace with 10 or more employees must constitute. Data privacy training covers consent when collecting household data, safe storage on tablets and phones, and never sharing beneficiary details on personal WhatsApp. Finance rules on advances and receipts round off the mandatory set.

Field safety and first aid
Field staff travel alone on two-wheelers over rural roads, sometimes after dark. Road safety training, a helmet rule and a check-in routine with the block coordinator reduce the risk. First aid training helps every field worker and is essential for staff in shelters and health programmes. Staff in areas with seasonal risks, such as floods, or with local tensions need a briefing on what to do and whom to call, refreshed before the season starts.
Programme skills and refreshers
Each project brings its own skills: facilitating group meetings, using the data collection app, the technical content of the programme such as nutrition counselling or financial literacy, and report writing for the M&E team. Run these as classroom or blended programmes during induction and before each new project phase. Give mandatory programmes a validity of 12 months so refreshers come due every year, and keep certificates from donor-run trainings on file, since donors may ask to see them.
How to set it up in ZeniaHR
- In Learning, create programmes for safeguarding, POSH, data privacy, finance rules, road safety, first aid and the project's technical content.
- Mark safeguarding, POSH and data privacy as mandatory, with a validity of 12 months, and set the hours for each programme.
- Enrol new joiners during induction and whole project teams before each new phase, choosing classroom, online, blended or external as fits.
- Mark completion after each session; the certificate number and expiry date give donors and auditors a clean training record.
- Check the compliance view per programme every quarter, before donor reports go out, and waive only with a reason recorded.

What training is mandatory for NGO staff?
Most NGOs treat safeguarding and child protection, POSH awareness, data privacy and consent, and finance rules for advances as mandatory for everyone, with road safety and first aid for field staff. Check what your donors expect, repeat the key programmes every year, and keep a completion record for each person.
Why do donors ask about safeguarding training?
Because NGO staff work closely with children, women and vulnerable adults, donors want assurance that everyone knows the rules, how to behave and how to report a concern. Many ask for proof of training and a named safeguarding lead. A completion record with dates and refreshers answers that quickly.
How often should NGO staff repeat safeguarding training?
At least every year, and sooner when the policy changes or after any reported incident. New staff should be briefed at induction, before they meet a single beneficiary. Shelter drivers, cooks and guards need the same training as programme staff, because they are in daily contact with residents.
