Leave management for pharmacy chains

In a pharmacy store, leave planning starts with the pharmacist. Assistants can cover for each other, but a pharmacist on leave needs another registered pharmacist in the store. Good chain leave policy keeps a relief pharmacist pool, asks for notice on planned leave, holds back long leave in the busiest weeks, gives comp-off for holiday work, and lets the approver see the whole team's leave before saying yes.

Relief pharmacists and leave approval

A relief pharmacist covers weekly offs and leave for a cluster of stores. When a store pharmacist applies for leave, the area manager books relief for those dates first and approves second. If the relief pool is fully booked that week, the leave moves, or a second pharmacist from a nearby store is shifted for those days. ZeniaHR will not block a leave request because no relief is free; the approver checks the Leave Calendar, filtered by department, where approved and pending requests appear in different tints.

Busy weeks when long leave is held back

Footfall rises in the first week of every month, when chronic patients refill their medicines after salaries arrive, and again in the monsoon fever season and peak winter. Many chains hold back earned leave of more than three days in the first ten days of each month and ask for 15 days' notice for EL. Set the notice period and the longest allowed spell in ZeniaHR's leave rules; the month-start restriction itself is a policy the approver applies, so write it into the leave policy that staff sign.

Festival leave for store teams

Stores stay open through Diwali, Eid, Pongal and Christmas, and staff from other towns want to go home. Rotate festival leave across the cluster: if the pharmacist from Madurai goes home for Pongal this year, relief comes from a store where nobody has asked for that week, and next year she covers someone else's festival. Staff who work on a listed holiday earn comp-off, which carries an expiry so it is used within a few weeks and not saved up.

Worked example: a weekday off inside a leave request

Kavya is a pharmacist in Chennai whose weekly off is Tuesday. She applies for EL on Monday and Wednesday. If the chain's sandwich rule charges a weekly off that has leave on both sides, she is charged 3 days, not 2. If she takes only Monday and returns on Wednesday, 1 day is charged. How to set it up in ZeniaHR

  1. Edit CL, SL and EL quotas in the Leave Ledger, and import each store's opening balances through Data Import.
  2. In the leave rules, set EL notice and the longest allowed spell, and require a document for SL after two days.
  3. Set reporting managers so store staff go to their store manager and relief pharmacists to the area manager.
  4. Decide per leave type how a weekday off between two leave days is treated, and whether holidays are treated the same way.
  5. Let comp-off credit for holiday work with an expiry, and review lapses in the Leave Ledger each month.
  6. Ask approvers to open the Leave Calendar for their department before approving any pharmacist's leave.
