Punching at the store
Larger stores and the warehouse can use a biometric device that sends punches over ADMS. Smaller stores do well with Kiosk Punch: a tablet near the counter displays a code that refreshes every half minute, staff scan it from their own phones or enter the code shown beneath it, and the tablet is tied to that store's check-in spot. Where staff punch on the store's billing PC, add the store's network to the allowed office networks, so a web punch from home does not count. Riders punch at the store before their first delivery, not from the road.
Shutter-up time is the real start
A store that opens at 8 am needs its opening team in by 7:45 to switch on systems, check the fridge temperature log for insulin and vaccines, and count the cash float. So the morning shift should start at 7:45, not 8, with a short grace. The live board, filtered by department and shift, shows by 7:50 which opening teams are complete. If the pharmacist is missing, a late alert has already reached her and her manager, and the area manager can arrange a relief pharmacist before the first customer arrives.
Closing staff and missed punch-outs
The closing shift ends after the shutter comes down, the cash is counted and the day's report is sent, often 20 to 30 minutes after 11 pm. Tired staff rush out and forget to punch. ZeniaHR reminds them an hour after the shift ends with a missed punch-out alert, and a correction request with the actual time goes to the store manager and then HR. Set the no punch-out rule to count hours up to shift end, and cap corrections per month so forgetting does not become a habit.
Area managers and relief pharmacists
Area managers and relief pharmacists work at a different store almost every day. Let them punch from the mobile app at check-in spots set up for each store, with phone binding so every punch comes from their own approved phone. When they spend a day at head office training or accompanying a drug inspector's visit, they raise an on-duty request instead, so the day is not marked absent.
Month close across forty stores
With many stores, month close fails when one store manager sits on pending corrections. Give store managers a deadline of the 1st to clear corrections and overtime, look at the absence grid by department and day for stores with unexplained gaps, then finalize. Once finalized, the month is frozen for payroll; a late fix means reopening it with a reason, which HR should allow only for genuine errors, not for requests that simply arrived after the deadline.
How to set it up in ZeniaHR
- Create each store as a location with its own check-in spot, and group staff into departments such as stores, warehouse, delivery and head office.
- Connect store biometric devices over ADMS or set up Kiosk Punch tablets, and add store networks to the allowed office networks for web punches.
- Start the morning shift 15 minutes before shutter-up with a short grace; with the attendance rules on, late alerts reach store staff and their managers.
- Choose count hours to shift end for missed punch-outs and set a monthly correction limit.
- Turn on phone binding for area managers and relief pharmacists who punch from the mobile app.
- Ask store managers to clear corrections by the 1st, then finalize the month from Attendance Punches.

How do pharmacy chains track staff attendance across many stores?
Each store gets its own punching point, either a biometric device or a kiosk tablet tied to the store's check-in spot, and all punches flow into one system. HR and area managers watch a single live board filtered by department and shift, and store managers approve corrections for their own teams before the month is closed.
What happens if a pharmacist does not come to the store?
The store cannot dispense prescription medicines until a pharmacist is present, so speed matters. A late alert goes to the pharmacist and her manager once the grace period passes, and the live board shows the store without a pharmacist punched in. The area manager then sends a relief pharmacist or moves one from a nearby store.
Can a store manager correct an employee's attendance?
The employee raises the correction, such as a missed punch-out after closing, and the store manager approves it before HR gives final approval. HR can also record or void a punch with a written reason. In every case the original punches stay on record, and corrections are blocked once the month is finalized.
Should delivery riders punch attendance?
Yes. Riders are employees on shifts like anyone else, and their hours matter for pay, overtime and safety. They should punch at the store at the start and end of the shift, from the kiosk or the mobile app, rather than from the road. Delivery counts for incentives come from the order system.
