Shift scheduling for pharmacy chains

A pharmacy roster has one fixed rule and several flexible ones. The fixed rule is a registered pharmacist on every hour the store dispenses. Around it, assistants, billing staff and riders follow the footfall: a busy morning, a quiet afternoon and the evening peak after office hours. Good store scheduling uses two overlapping shifts, adds a third for 24-hour stores, spreads weekly offs across weekdays and shows gaps a week ahead.

Two overlapping shifts

The overlap is where the evening team takes over the cash drawer, shelves the afternoon delivery from the warehouse and gets briefed on pending home deliveries. Without an overlap, those jobs are rushed at the moment of shift change, which is exactly when billing mistakes and missed orders happen.

Worked example: pharmacists for one store

A store open 7 days with two shifts needs 14 pharmacist shifts a week. Each pharmacist works 6 shifts with one weekly off, so 14 divided by 6 gives 2.33. Two pharmacists cannot cover it; three can, with 4 shifts a week to spare (18 minus 14), which go to leave cover, training days or a third overlapping shift on busy evenings. A 24-hour store needs 21 pharmacist shifts a week, and 21 divided by 6 is 3.5, so it needs four pharmacists, with 3 shifts to spare.

Weekly offs and rotation

Put weekly offs on the slowest weekdays for that store, and never give two pharmacists the same day off. A two-week rotation template, where each pharmacist does a week of mornings and then a week of evenings, is fairer than giving one person permanent evenings, and it is easy to stagger per person. Personal weekly offs suit staff with a fixed need, such as a pharmacist studying for a B.Pharm who needs Saturdays. Assign the month's roster in bulk and publish it by the 25th.

Swaps and night safety

Staff swap shifts for exams and family events. Chain stores that open around 8 am and close around 11 pm usually run two overlapping shifts, such as 7:45 am to 4:15 pm and 2:45 pm to 11:15 pm, with the overlap used for handover, cash counts and restocking. Stores open 24 hours add a night shift, for example 11 pm to 8 am.

How many pharmacists does a 24-hour pharmacy need?

Can women pharmacists work the night shift?
