Store holidays and head office holidays
Head office and the warehouse can follow a normal list of paid holidays. Stores cannot, because Dussehra, Diwali, Christmas and long weekends are when customers come. Keep one company calendar but apply holidays differently: every holiday to head office, and only the true closure days to store branches, such as the morning of Holi if your stores open late that day. Which days a shop must close, and what staff get for working a holiday, depends on your state's Shops and Establishments rules, so check them for each state you trade in before you fix the store list.
Regional festivals, state by state
A chain with stores in several states needs regional holidays mapped to the right branches. Pongal belongs to Chennai and Coimbatore stores, Onam to Kerala, Durga Puja to Kolkata, Bihu to Guwahati and Gudi Padwa to Maharashtra. In ZeniaHR each holiday can apply to chosen branches and departments, so a Kochi associate sees Onam in their holiday list and a Pune associate does not. Even when a store trades through the festival, the mapping matters, because holidays feed attendance, leave sandwich rules and payroll. A wrongly mapped holiday shows up as an absence or an unpaid day.
Optional holidays for a mixed team
Store teams mix religions and home states. Optional holidays let each associate choose, for example two days a year from a list that includes Eid ul-Fitr, Christmas, Guru Nanak Jayanti, Chhath Puja and Mahavir Jayanti. Associates pick them in My Self-Service within the yearly pick limit. Store managers need to see the picks early: the report of who picked which optional holiday shows if three of the five cashiers chose the same Eid date, and the roster can be fixed weeks ahead instead of on the eve.
When a festival is a working day
For most associates, Diwali, Dussehra and Christmas are working days. Decide in advance what they get: a comp-off credit, holiday pay, or a substitute holiday. A comp-off with a clear expiry is the usual retail answer, because the store can give the day back in a quiet week. If the festival day runs past the shift, the extra hours are overtime at the holiday multiplier you set, and under the OSH Code overtime is paid at twice the ordinary wage rate, so keep that multiplier at 2 or above.
How to set it up in ZeniaHR
- In Holiday Calendars, create this year's list using the six categories, so national, religious, regional and company holidays stay separate.
- Apply each regional holiday only to the store branches in that state, and apply true closure days to every store.
- Mark optional holidays and set the yearly pick limit, for example two, so associates can pick them in My Self-Service.
- Set 26 January, 15 August and 2 October as recurring yearly holidays, so next year's calendar starts ready.
- In the Direct Payroll deduction policy, decide whether holidays are paid, with branch overrides for states where store rules differ.
- Before each festival month, share the report of who picked which optional holiday with the store managers concerned.

Do retail stores have to close on national holidays in India?
It depends on the state. Shops and Establishments rules decide which days shops must close and what staff get if they work, and those rules differ from state to state. Check the rules for each state you trade in, map national holidays to the right branches in your calendar, and decide the comp-off or holiday pay for store staff who work those days.
How do retail chains compensate staff who work on festivals?
Through comp-off, holiday pay or both. A simple rule is one comp-off day for each festival worked, with an expiry so it is used within a couple of months, plus holiday overtime for hours beyond the shift. Put the rule in the holiday policy and apply it the same way in every store, so an associate in Surat and one in Kolkata get the same deal.
Can different stores have different holiday lists?
Yes, and a chain across states should have them. In ZeniaHR each holiday applies to chosen branches and departments, so one company calendar can give Onam only to Kerala stores and Pongal only to Tamil Nadu stores. Employees see only their own holidays, and payroll and leave sandwich rules read the same list, so nothing has to be kept twice.
