Punch at the store, not somewhere near it
Store staff should punch where they work, and the method should suit the store. A biometric machine in the back office that pushes punches over ADMS works well in large format stores. Smaller mall stores often use a kiosk instead: a tablet at the stockroom door shows a QR code that changes every 30 seconds, and associates scan it with the mobile app, so nobody can punch for a friend from the food court. Head office staff can punch on the web from the office network. Whichever you pick, keep one method per store, so the store manager knows what a missing punch means.
- Biometric device over ADMS for large format stores
- Kiosk QR at the stockroom door for mall stores
- Mobile app punches limited to the store's check-in spot for small stores without a tablet
- Phone binding, so each associate punches only from one approved phone
Late marks judged against the shift
A mall store that opens at 11 am needs its opening team inside by 10:30 am to switch on lights, count the cash float and open the tills. The closing team may start at 1:30 pm. Grace minutes sit on each shift, and the late rules are set once for the company: for example, late by more than 30 minutes counts as a half day, and after three free late marks in a month, every two late marks deduct half a day. Mall entry adds a real delay on sale days, when the queue at the service gate gets long, so a 10-minute grace is fairer than none.
Worked example: Kavya is a sales associate at a Bengaluru mall store on the opening shift, 10:30 am to 7:30 pm. In March she is late five times, each by 12 to 20 minutes, so none of them becomes a half day. With three free late marks and half a day deducted for every two late marks after that, her five late marks cost her half a day. Her month log in My Self-Service shows each late mark and the penalty, with the company's rules written in plain sentences, so she can see exactly why.
When staff work at another store
Chains move people around. An associate from the Andheri store helps at Borivali for an end of season sale, or a cashier covers a sister store for a week. If the associate cannot punch at the other store, they raise an attendance correction of type on duty from the mobile app, with the real in and out times. It goes to their own store manager and then to HR, and the approved correction updates the day while the original punches stay on record. For a move of several weeks, transfer the employee to the other store and its manager instead, so the roster and approvals follow them.
Month close across all stores
Payroll is only as good as the attendance month behind it. In the last days of the month, store managers clear pending corrections and missed punch-outs, and HR reviews penalties, waiving any with a written reason, such as a mall power cut that stopped the biometric machine. HR then runs month close, which finalizes attendance and freezes it for payroll. If a mistake surfaces later, the month can be reopened with a reason, so every change after close is explained.
- Late vs on time by day, to spot weekend opening problems
- Absence grid by department and day around sale launches
- Top 10 most often late across the chain
- Late days vs counted late marks, to check the rules feel fair
How to set it up in ZeniaHR
- Create each store as a branch and location, and set the store manager as the reporting manager for everyone who works there.
- In Shifts & Roster, add the opening, closing and weekend peak shifts, each with its own grace in and grace out minutes.
- Under Capture controls, turn on the kiosk, add a check-in spot for each store and switch on phone binding for mobile punches.
- Under Policies in Settings, set the attendance rules for grace, late marks, half days and missing punch-outs, then run the try it on last month dry run before switching them on.
- Keep attendance alerts on, so the associate and the store manager hear about a late arrival or a missed punch-out the same day.
- On the last working day, ask store managers to clear pending corrections, then use month close to finalize attendance for payroll.

How do retail chains stop proxy attendance at stores?
Use a punch method a colleague cannot fake. A kiosk QR code that changes every 30 seconds has to be scanned in person, phone binding stops one phone punching for two people, and a check-in spot keeps app punches inside the store. Biometric machines suit stores with a back office. Store managers should also compare the My Team live board at opening time with who is actually on the floor.
What grace period should retail store staff get?
A grace of 10 to 15 minutes suits mall stores, where staff queue at the service gate before they reach the store. Set it per shift, so the opening team's grace runs from their report time before the store opens and the closing team's from their own start. Keep the same grace across stores in a city, or staff will compare notes and complain.
How should attendance work for store staff sent to another store?
Treat the day as on duty. If the associate cannot punch at the other store, they raise an on duty correction with the real in and out times, and their own store manager and then HR approve it. The approved correction marks the day correctly while the original punches stay on record. For moves longer than a few weeks, transfer the associate to the new store and manager instead.
