Shift scheduling for retail chains

A store roster has to cover the floor from opening to the last bill, put the most people on Saturday and Sunday evenings, and still give every associate a weekly off on a weekday. The pattern that suits most stores is three shifts, opening, closing and a weekend peak shift, with weekly offs spread across Monday to Friday and a minimum head count per shift that the store manager checks every week.

Three shifts cover a mall store's day

Take a mall store open from 11 am to 10 pm. The opening shift runs 10 am to 7 pm, so the team is in an hour before the doors open to set displays and count the float. The closing shift runs 1:30 pm to 10:30 pm and stays for the cash tally. A peak shift from 12 noon to 9 pm is added on weekends and sale days. Each is a 9-hour spread with a 1-hour break, which keeps working time at 8 hours. Under the OSH Code, ordinary daily work is capped at eight hours, and spread-over limits are fixed by government notification, so check the limit that applies in your state before you stretch a shift.

Weekly offs on weekdays

No weekly offs on Saturday, Sunday or a declared sale day: that is the one roster rule every store manager understands. Give each associate a personal weekly off on a weekday, and spread the offs so that each weekday loses roughly the same number of people. A worked coverage plan for a 10-person store

Say the store has a store manager, an assistant manager, two cashiers and six sales associates. That is 10 people and 10 weekly offs a week. Spread over Monday to Friday, two people are off each weekday, which leaves 8 on duty: 4 on the opening shift and 4 on closing. On Saturday and Sunday all 10 work: 3 opening, 3 on the peak shift and 4 closing. Never give both cashiers the same weekly off, and keep either the store manager or the assistant manager on every closing shift, because someone senior must sign the cash tally.

Rotations, bulk rosters and swaps

Associates prefer a mix of opening and closing weeks. A two-week rotation template, one week opening and one week closing, staggered so half the team is on each, keeps it fair. For the festival season, assign the roster in bulk up to 92 days ahead so staff can plan their lives. When someone needs a change, they ask a colleague for a shift swap on the same day or across two dates, weekly offs included. The colleague accepts, the store manager approves, then HR, and only then does the roster change.

Closing shifts end late, and many closing associates are women. Under the OSH Code, women may work night shifts with their consent and the safety conditions set by the government, and state shop rules can add conditions of their own. Record consent in writing, arrange safe travel after the late close, and do not roster anyone on closing every single week without their agreement.
