Notice periods that follow the session
Many schools ask teachers for one to three months' notice and add a clause that resignations should take effect at the end of a term or the session, except for reasons such as a spouse's transfer or health. Put the rule in the appointment letter, because a clause nobody saw at joining is hard to apply at exit. Support staff usually have a shorter notice period, such as one month. When a teacher resigns in October, the notice should cover the half-yearly result work and a proper handover to the replacement.
Handover and clearance
A teacher's handover is mostly records: marks registers and assessment records, answer sheets still to be returned, lesson plans and the syllabus status for each class, pending projects and the class teacher's files. Library books, lab equipment, locker keys, the ID card and any school laptop or tablet come back to the office. Accounts clears any salary advance and fee dues for a staff child. The coordinator signs off the academic handover, and HR signs clearance only when every item is ticked.
- Marks, assessment records and answer sheets
- Syllabus status and lesson plans for each class
- Library books, lab items, keys, ID card and devices
- Salary advances and staff child fee dues
Worked example: final settlement and gratuity
Sunita, a PGT, resigns after 8 completed years, with last drawn basic plus DA of ₹39,000. Gratuity is due after five years of continuous service, at 15 days' wages for each completed year, so she gets (₹39,000 / 26) x 15 x 8 = ₹1,80,000. Her final salary covers the days worked up to the last working day, plus leave encashment if the school's policy allows it, minus any advance still due. Wages due must be paid within two working days of leaving. The gratuity calculator is a quick way to check the figure before the cheque is signed.
Relieving letters and rehiring
The next school will ask for a relieving letter and an experience certificate, often before the teacher can join. Issue both on the last working day, once clearance is signed, with the dates of service and the classes taught. Record the exit reason, because patterns matter: three science teachers leaving for the same reason in one session is a message for the management. Stay in touch with good teachers who leave for family reasons, since many come back for a substitute post or a new session.
How to set it up in ZeniaHR
- Record the resignation on the employee record, which sets the last working day and moves the teacher to on notice.
- In the work terms policy, set notice days in probation and after confirmation, with per-grade overrides if senior teachers serve longer notice.
- Run offboarding with one of the 20 structured exit reasons, and complete the 8-item exit checklist before clearance is signed.
- Add final month payroll inputs such as leave encashment and advance recovery; paid days stop at the exit date.
- Process the final salary in an off-cycle run, so the settlement is paid within two working days instead of waiting for the monthly run.
- Check figures against the gratuity and settlement reports in Reports, and save the relieving letter to the employee's documents.

Can a school require teachers to resign only at the end of the session?
A school can ask for notice that ends with a term or the session and write that clause into the appointment letter, with exceptions for reasons such as health or a spouse's transfer. It works only when teachers accept it at joining. Wages already earned cannot be held back and must be paid within two working days of leaving.
Is gratuity payable to school teachers?
Yes. Gratuity is due after five years of continuous service, at 15 days' wages for each completed year, on last drawn wages. A teacher with 8 completed years and last drawn basic plus DA of ₹39,000 gets (₹39,000 / 26) x 15 x 8 = ₹1,80,000. Fixed-term teachers get it pro rata, without the five-year minimum.
What should a teacher hand over before leaving a school?
Everything a replacement needs to carry on: marks and assessment records, unreturned answer sheets, how far each class has reached in the syllabus, lesson plans and class teacher files. School property comes back too: library books, lab equipment, keys, the ID card and any device. The coordinator should sign off the academic handover before HR completes clearance and the final settlement.
