Where good drivers are found
Drivers hear about jobs from other drivers, so your own drivers are your strongest recruiters. A driver who vouches for a cousin or a friend from his village also takes some responsibility for how that person behaves. Pay a small referral amount after the new driver completes three months, not on joining.
- Referrals from current drivers, paid after three months of service
- Transport nagar notice boards and truck stands, with a careers page QR code
- Driving training institutes for freshly licensed LMV drivers
- Retired army drivers for staff transport and school contracts
- Job portals for fleet supervisors, control room executives and mechanics
Check the licence before the interview
Ask for the original licence at the first meeting and look at three things: the vehicle classes it covers, the validity date and any endorsement your work needs, such as hazardous goods for tanker drivers. Verify the licence number on the government's Parivahan service before spending time on a road test. Ask directly about accidents and challans in the last three years; a candidate who answers honestly is often a better bet than one who claims a spotless record with no proof.
A road test on your own vehicle
A good road test takes 30 to 40 minutes with the fleet supervisor in the passenger seat. It should include reversing into a bay, a start on a slope, a stretch of city traffic and, for highway roles, a few kilometres at speed. Watch mirror use, gear discipline, distance from the vehicle ahead and how the candidate handles a pedestrian who steps out. For staff transport, add a navigation test on a phone and a short conversation to judge how he will speak to passengers.
Mechanics and tyre technicians get a practical test too: diagnose a fault on a vehicle in the workshop, or change a tyre safely, while the workshop supervisor watches. Ask how they would handle a vehicle that breaks down at night on a highway, since recovery calls are part of the job at most fleets.
References, verification and the offer
Call the last two fleet owners, not only the one the candidate suggests. Start police verification before joining for staff transport and school bus roles, since clients and schools will ask for it. Then move quickly: an offer sent the same evening through a link the candidate accepts online usually beats a better offer that arrives three days later. Accepted candidates move straight into onboarding, and recruitment analytics show whether offers for a new contract are still pending as the start date approaches.
How to set it up in ZeniaHR
- Raise a requisition for each client contract or depot, such as 12 LMV drivers for a new staff transport contract in Hinjewadi.
- Print the careers page link as a QR code for depot and transport nagar notice boards, so drivers can apply from their phones.
- Record the licence check and road test result as screening notes while candidates move across the pipeline board.
- For fleet supervisor and control room roles, use the resume match score and let candidates pick from offered interview slots.
- Send each offer as a link the driver can accept or decline online, then shift accepted drivers into onboarding.
- Check recruitment analytics for pending offers against each contract's start date.

How do you verify a driver's licence before hiring?
Look at the original card for the vehicle classes covered, the validity date and any endorsement the role needs, then check the licence number on the government's Parivahan service. Keep a copy of both sides in the candidate's file, and recheck the validity before every renewal date.
What should a road test for a commercial driver include?
Reversing into a bay, a start on a slope, city traffic and, for highway work, a stretch at speed, all on the vehicle type he will drive. The supervisor should watch mirror use, gear discipline and following distance. Staff transport roles can add a navigation task and a short conversation.
Where do fleet operators find experienced drivers?
Mostly through referrals from their own drivers, notice boards at transport nagars and truck stands, driving training institutes, and retired army drivers. Job portals work better for supervisors, control room staff and mechanics than for drivers. Referral payouts linked to three months of service keep the quality up.
