What to include
Reply on time
Reply within the deadline, or ask for more time in writing before it expires. A late or missing reply lets the company proceed on the information it already has.
Answer every point
Take each allegation in the order the notice states it and answer it with facts: times, registers, emails, names. A general denial carries far less weight than a specific account.
Evidence and witnesses
Attach copies of documents and name people who can confirm your account. Keep originals yourself and list the enclosures at the end.
Honesty about genuine mistakes
If part of the allegation is true, accept it, explain the circumstances and state what you have done to prevent a repeat. An honest admission of a minor lapse often leads to a lighter outcome than a denial that is later disproved.
Ask for documents and a hearing
You may request the report or evidence the notice relies on and a personal hearing. Put these requests in the reply so they are on record.
Common mistakes to avoid
- Writing the reply in anger or attacking the manager who reported the incident.
- Denying everything, including facts that the records clearly show.
- Missing the deadline without asking for an extension in writing.
- Submitting the reply without keeping a copy with the date of submission.
- Making new allegations against colleagues that are unrelated to the notice.

Quote the notice reference, answer each allegation point by point with facts, attach supporting documents, name witnesses, and ask for any document or hearing you need. Stay calm and respectful, and keep a dated copy.
