What to include
A genuine reason, briefly
State the personal reason in a sentence or two. Family reasons such as a spouse's posting or a parent's treatment are commonly accepted, and HR does not need medical details at this stage.
Show the move works for the company
Mention a vacancy or need at the new location and your willingness to continue in the same role. A request that solves a problem at the other office is far easier to approve.
Flexible dates
Give a preferred date but show flexibility. Transfers depend on replacements and vacancies, and rigid dates tend to lead to a refusal rather than a delayed yes.
Handover commitment
A concrete handover plan answers the manager's first worry, which is who will do your work. It also protects your reputation at the office you are leaving.
Relocation cost expectations
Say whether you expect relocation support. Company policies often pay relocation only for company-initiated transfers, so being upfront avoids disappointment later.
Common mistakes to avoid
- Going directly to the other branch head without informing your own manager.
- Demanding a transfer by a fixed date with no room for the team's needs.
- Asking for a transfer and a promotion in the same letter.
- Assuming relocation costs will be paid for a transfer you requested.
- Leaving the reason so vague that HR cannot judge the urgency.

How do I write a transfer request letter?
Write to your reporting manager and copy HR. Give your current role and location, the location you want to move to, a brief personal reason, your preferred date and a handover plan. Show that you will continue in the same role and stay flexible on timing.
