Casual leave application format

Casual leave covers short, unplanned absences for personal work: a bank or RTO visit, a child's school meeting, a family function or an urgent errand. Most companies allow one or two days at a time, sometimes as half days, and do not let casual leave be joined with earned leave. A casual leave application is therefore short: the date, whether it is a full or half day, a one-line reason and a note on urgent work.

When to use it: Apply a day or more in advance when the need is known, or on the morning itself for an urgent errand, before the shift starts. Address it to the reporting manager. Where the company uses a leave system, the application is made there; the letter format suits emails, registers and small offices.

What to include

Full day or half day

State whether the leave is a full day or which half. Half-day casual leave is common for short errands, and naming the half tells the team when the employee will be reachable.

Keep the reason short

Casual leave exists for personal matters. One line is enough, and managers should not ask for proof of a school meeting or a family function.

Know the combining rule

Many policies do not allow casual leave to be combined with earned leave or used to extend a holiday. Checking the rule first avoids a rejected application.

Cover for the day

Even for one day, say who will answer calls or handle urgent work. For front-line roles such as a store counter or a hospital ward, the manager must arrange a replacement before approving.
