HR policy settings

The Policies tab in Settings holds the rules that turn punches and leave into payable days. Each rule is written as a sentence with the numbers in boxes, such as 'After 3 free late marks in a month, every 3 late marks deduct half a day'. Attendance rules can be tried on last month before they are saved, and every engine that can cost pay stays off until you switch it on. A five-step setup wizard gets a new company to that point.

HR teamEdits the policy cards it has rights for, fills a preset or the recommended values, tries attendance rules on last month, and saves each card separately.

Six cards on one page

The Policies tab is open to the company head and HR of an HRMS Core company. It has six cards, and each saves on its own. Attendance rules cover grace, late marks, early exits, full-day hours, breaks, missing punch-outs, rest days between absences and correction limits. Leave rules cover each leave type. Overtime covers counting, approval, payout and the monthly cap. Work terms cover probation, notice periods and where people work. Capture controls cover networks, locations, phones and kiosks, and the last card covers the company wall and praise.

Rules that change pay stay off until you say so

Attendance rules, overtime, the leave ledger, the roster, Direct Payroll, role-based access and live notification sending are each switched on separately. While attendance rules are off, days are graded by hours only and nothing is deducted. Presets and recommended values only fill a form; nothing changes until someone saves. Attendance rules are saved as a new policy version each time, with the version number and date shown on the card, so you can always tell which rules were in force.

Loss of pay and payroll deductions

How a day turns into money is set in the payroll deduction policy: whether one day of salary is the monthly pay divided by working days, calendar days or a fixed 30, 26, 24 or 22 days, how much of a half day is paid, and whether weekly offs and holidays are paid. That policy can be overridden for a branch, so a plant and a head office in the same company can use different divisors. See payroll for how paid days reach the payslip.

Where do we set HR policies in ZeniaHR?

In Settings, on the Policies tab, which the company head and HR of an HRMS Core company can open. It has six cards: attendance rules, leave rules, overtime, work terms, capture controls, and company wall and praise. Each card saves on its own, and editing one needs the edit right for that area, such as attendance or leave.

Can we test a new attendance policy before using it?

Yes. The attendance rules card has a Try it on last month dry run. Pick a finished month, press Preview, and see each employee's payable days before and after the new rules, with late marks and penalty days. Nothing is saved, so you can adjust the rules and try again as often as you like.

Do policy changes affect months that are already paid?

Not once a month is finalized. Attendance rules can change pay days in any month that is not finalized yet, which is why the card asks for confirmation before switching them on. A finalized attendance month stays frozen for payroll unless HR reopens it with a reason.

Can different branches follow different rules?

The payroll deduction policy, which covers the loss of pay divisor, half-day pay and paid weekly offs and holidays, can be overridden for a branch. Shifts, weekly off patterns and check-in spots can also differ by team or branch, so a plant and an office in one company can run side by side.
