Marriage leave policy template

A marriage leave policy gives employees paid days off for their own wedding, and sometimes for the wedding of a sibling or child. Indian weddings often mean travelling to the home town and several days of ceremonies, so employees plan leave well ahead. A written policy sets the number of days, who is eligible, when the leave can be taken and how it combines with earned leave.

When to use it: Include it when you define company-specific leave benefits, or when employees start asking whether wedding leave must come from earned leave. HR proposes the days, management approves them, and managers are asked to plan cover for the wedding season, when many requests arrive together.

1. Purpose

This policy gives employees of [Company Name] paid leave for their own marriage, and a shorter paid leave for the marriage of a close family member.

2. Scope

It applies to all employees who have completed [6] months of service on the date of the wedding, including fixed-term employees.

3. Entitlement

  • Own marriage: [5] working days of paid leave, available once during employment with the company.
  • Marriage of a sibling or child: [2] working days of paid leave for each such wedding.
  • Marriage leave is in addition to other leave and does not reduce any leave balance.

4. Timing

  • Leave for the employee's own marriage may be taken between [15] days before the wedding and [3] months after it.
  • It is taken in one continuous spell, which may be joined with earned leave for a longer break.
  • Leave for a family wedding is taken on or around the wedding dates.
  • Marriage leave not used within its window lapses and is not encashed.

5. Applying

  • The employee applies at least [30] days ahead for their own marriage and [7] days ahead for a family wedding.
  • The manager approves the dates and HR confirms eligibility.
  • A copy of the wedding invitation is attached to the application. If the marriage is registered, the certificate is submitted within [3] months of the wedding.

6. After the wedding

  • The employee updates marital status, spouse details and nominations with HR within [30] days.
  • Where the group health insurance policy covers spouses, HR adds the spouse within the insurer's time limit.

7. Responsibilities

  • Employees: plan the leave early and hand over work before leaving.
  • Managers: approve wedding leave in good time and spread requests across the busy wedding months.
  • HR: check eligibility and update records and insurance after the wedding.

8. Exceptions

Where both partners work for the company, each is entitled to marriage leave. With the HR head's approval, HR may waive the service condition for an employee who joined shortly before a wedding that had already been fixed.

9. Review

HR reviews the marriage leave entitlement every [2] years together with the company's other discretionary leave benefits.

What to include

Own and family weddings

Say whether the policy covers only the employee's own wedding or also a sibling's or child's. Family weddings matter a great deal in Indian households, and a clear rule avoids uneven decisions.

Once during service

Limit leave for the employee's own wedding to once during employment. It keeps the benefit simple and prevents arguments about eligibility later.

A window around the date

Allow the leave within a window around the wedding instead of on fixed days. Wedding dates move with muhurat choices and family decisions, and a window absorbs such changes.

Updating records

Remind employees to update marital status, spouse details, nominees and health insurance after the wedding. Missed updates surface much later as rejected claims or outdated nominations.

A reasonable service condition

A minimum service period, such as six months, is fair, but let HR relax it when a joiner's wedding date was fixed before they joined.
