Different files for different roles
Write down what each role must have on file, and keep the list short. A seasonal packer's file that is complete is worth more than a field officer's file that is half done. Share the list with area managers and pack house supervisors, since they are the ones who collect most of the papers in practice.
- Everyone: Aadhaar, PAN, bank proof, addresses and nominee details
- Field officers: degree or diploma, two-wheeler licence, and vehicle registration and insurance if they ride their own vehicle
- Drone pilots: remote pilot certificate with its validity date
- Pack house workers: medical fitness for food handling where export buyers ask for it
- All staff: appointment letter, with the end date for seasonal fixed-term workers
Seasonal files: small, but right
Most seasonal workers join through the onboarding link with Aadhaar, PAN and bank proof, and the checks that matter are simple ones. Does the name on the bank account match the Aadhaar card? Is the account active, or dormant since last season? Returning workers should confirm their bank details and address every year, because a changed phone number or a closed account is the usual reason a final settlement fails. Employees can add their first nominee in the mobile app, which saves HR chasing forms at the pack house.
Certificates and papers with a shelf life
A drone pilot with a lapsed certificate should not fly, a field officer with expired vehicle insurance should not ride on company work, and a packer whose food handling fitness is out of date may fail a buyer audit. When HR verifies any of these papers, the expiry date goes in at the same time. Before each season, and monthly during it, HR goes through the document reports with the area managers and lines up renewals. In the app, each employee's required-document checklist shows the gaps; renewed papers go to HR, who add and verify them.
Who can see the files
Area managers need their own clusters' documents, not the whole company's. Give them a data scope limited to their department or branch, mask bank and salary fields for their role, and share copies with auditors through download links that expire rather than as email attachments. Seasonal workers' Aadhaar and bank details deserve the same care as anyone else's.
