Exit management for agriculture and agritech companies

Agri exits come in two kinds. At the end of each season, a whole batch of pack house or procurement workers finishes its fixed term on the same day. Through the year, field officers leave one at a time, often taking years of farmer relationships with them unless the handover is planned. Both kinds need final dues cleared no later than two working days after the person goes, and records good enough to start next season with people you already trust.

Season end: releasing a batch cleanly

When a grape season ends on 30 April, sixty fixed-term packers may finish together. Prepare in the last fortnight: confirm each person's end date, collect ID cards, aprons and knives as each shift finishes, and settle attendance and overtime daily so nothing is argued on the last day. Rekha, a packer on ₹15,000 a month, worked all of April. Her settlement is a full month's ₹15,000, ₹1,500 of approved overtime and, under her company's policy, 3 unused earned leave days encashed at ₹500 a day, another ₹1,500, making ₹18,000 before deductions. On top of that comes her pro rata gratuity as a fixed-term employee, which does not wait for five years of service. Run the batch through an off-cycle payroll within two working days of 30 April.

Field officer exits: hand over the farmers

A field officer's real asset is his relationships in twenty villages. A notice period of 30 days, longer for area managers, should be used for handover in person: the successor rides along to meet key farmers, village leaders and dealers, and takes over the demo plots and any pending farmer claims. Sales officers must also reconcile dealer stock and outstanding credit before they go.

Paying on time from remote centres

The two-working-day deadline for final wages is the same for a packer at a remote collection centre and for a regional manager. Pay by bank transfer, never in cash at the centre, and let the payslip reach the leaver's app. For a field officer with more than five years of unbroken service, work out gratuity carefully: the law allows fifteen days of last drawn wages for every completed year. Any recovery for kit that was not returned is a deduction from wages, so confirm it is permitted before cutting it.

Bringing good people back next season

Before the batch disperses, note beside each name whether you would rehire them, their speed and accuracy, and their attendance. Leavers stay in the previous employees list, so next season the pack house supervisor can call the reliable ones first. A returning worker still needs a fresh fixed-term appointment letter, a check that bank details have not changed and the safety induction again, but starts productive from the first day.

How to set it up in ZeniaHR

  1. Record each seasonal worker's end date at joining, and plan the season-end release two weeks before the last shift.
  2. Set notice days for field officers and longer notice for area managers in the work terms policy.
  3. Offboard each leaver with the right exit reason and the 8-item checklist, adding kit and farmer handover items.
  4. Run off-cycle payrolls for season-end batches and individual exits, with overtime and leave encashment as inputs.
  5. Pay within two working days, checking gratuity where due against the gratuity and settlement reports.

Frequently asked questions

How should agri companies release seasonal workers at season end?

Confirm end dates two weeks ahead, collect company items shift by shift, settle attendance and overtime daily, and pay the whole batch through an off-cycle payroll by the second working day after the season closes. Note who you would rehire, so next season's hiring starts with them.

What should a field officer hand over before leaving?

Farmer lists and contacts, demo plot records, pending farmer claims and, for sales roles, dealer stock and credit positions, plus the company phone or tablet and kits. Most important, the successor should meet key farmers and village leaders in person during the notice period.

Do seasonal agri workers get gratuity?

Yes, when they are on fixed-term appointments. Fixed-term staff qualify for a pro rata gratuity, and the five-year qualifying period that permanent staff face does not apply to them. Add it to the season-end settlement next to the final month's pay, approved overtime and any leave being encashed.
