Paperwork on the phone, in the local language
ZeniaHR's self-onboarding link opens in English, Hindi or Gujarati, which suits joiners in Gujarat's cotton belt or Madhya Pradesh's soybean districts. Using their own phones, joiners type in who they are, where they live and their bank account, then attach a photo and pictures of their Aadhaar, PAN and passbook or cheque leaf. HR checks the bank account with particular care for seasonal workers, because first salary credits often bounce on dormant accounts. HR then files the degree certificate, licence, vehicle papers and any remote pilot certificate in the person's records. Approval of the submission creates the employee record.
Field kit and a signed issue record
Field officers leave on their first day with company property: a phone or tablet for farmer registration, a soil testing kit, demonstration material, rain gear and an ID card. List everything on an issue form the officer signs, and add it to the documents. Each person on the rolls, permanent or seasonal, is owed an appointment letter under the OSH Code; for seasonal workers it is a fixed-term letter stating when the season, and their term, ends.
Safety induction for fields and pack houses
The induction depends on the work. Set each version up as its own Learning program in ZeniaHR, and record every joiner as complete before their first day of work. Keep it practical and in the local language, with demonstrations in the field or on the pack house floor rather than slides.
- Crop protection demonstrations: handling pesticides, gloves, masks and washing after use
- Field work: heat, snake bites and dog bites, and where the nearest health centre is
- Two-wheeler safety on village roads, especially in the monsoon
- Pack houses: hygiene, hair nets, gloves, knife handling and lifting crates
- Drone operations: pre-flight checks and keeping people clear of the spray area
Probation that covers a crop season
A field officer who joins in May and is reviewed in August has seen sowing but not harvest. Set field roles on a six-month probation that spans a full season, and extend by a month or two with a written reason if the harvest has not happened yet. ZeniaHR reminds HR and the area manager daily as the end date nears, the area manager scores the officer on a 1 to 5 scale and adds a remark, and HR then confirms or extends. Seasonal workers on short fixed terms can carry a shorter probation, or none, set by employment type.
