Onboarding for BPOs and call centres

BPO onboarding happens in batches: 30 or 40 people join on the same Monday, go through a day of HR induction and start new hire training the next morning. The documents, verifications and consents they need are the same for everyone, which makes the process easy to standardise and costly to get wrong. Good onboarding here has paperwork done before day one, addresses verified for transport, night shift consent recorded and probation linked to training.

Fifty joiners on a Monday

Send the self-onboarding link to every selected candidate the day the offer is accepted, and put its QR code at reception on joining day for anyone who has not finished. Joiners fill in their details, bank account and education and upload documents on their phones, in English, Hindi or Gujarati. Each submission is approved, rejected or sent back for changes by HR, and only an approved one becomes an employee record. For a very large batch, bulk import of joiners from Excel is faster for the basic details, with documents uploaded afterwards.

Verifications clients ask for

Client contracts often require background verification of education, previous employment and address before or soon after an agent goes live, and some banking and healthcare processes also ask for police verification. Start these on joining day through your verification agency, and upload each report to the employee's documents. Add an NDA and a data privacy declaration to the document checklist, because agents handle customer data from their first live call.

Addresses, transport and night shift consent

For night processes, the address in HR records is also the drop address for the cab. Verify it with a current address proof, and ask agents to update it through a profile correction request in the app when they move, and HR approves the change. Before rostering a woman employee on a night shift, record her written consent in her documents, since women may work night shifts with their consent and under the safety conditions set by the government.

Probation through training and nesting

Agents commonly serve three or six months of probation, which the work terms policy stores per employment type. Link the probation review to training milestones: completing new hire training, clearing the client certification and finishing nesting on the floor. In My Team, the team leader gives a score out of 5 and writes a line on quality and attendance; HR then confirms the agent, extends probation with a reason, or marks them not confirmed. The appointment letter, which must be issued to every employee under the OSH Code, should state the probation period clearly.

Nesting is the period after classroom training when new agents take live calls or chats with close support from a trainer or SME, usually with lower targets. It bridges training and full production. Probation reviews are often tied to finishing nesting and reaching the process's quality score, so the confirmation decision rests on real work.
