Staggered log-ins from the forecast
WFM forecasts contacts per interval and works out how many agents each log-in time needs, usually in its own tools. The result lands in ZeniaHR as a shift catalogue with one code per log-in time. A US voice process might use three codes, each 9 hours with an hour of breaks. Flag all of them as night shifts; each duty then stays on the date its log-in fell, and a late mark is measured from that code's own start.
- US1: 6 pm to 3 am
- US2: 6:30 pm to 3:30 am
- US3: 7:30 pm to 4:30 am
- UK1: 1:30 pm to 10:30 pm
- DOM: 9 am to 6 pm for the domestic process
Rotating weekly offs that feel fair
A 24x7 floor cannot give everyone Saturday and Sunday off. Use personal weekly offs per agent and a rotation template that moves each person's two offs through the week over a cycle, so everyone gets a weekend off at regular intervals. Templates in ZeniaHR run in cycles of up to 62 days and can be staggered per person. Assign them in bulk up to 92 days ahead, which gives agents a roster they can plan family events around and gives the transport desk a stable base.
Night rosters, consent and the cab plan
Women may work night shifts with their consent and under the safety conditions set by the government, as the night shift rules explain. Record each consent in the employee's documents. Many BPOs run home pick-up and drop for late shifts, planned by the transport desk from the published roster. ZeniaHR does not plan cab routes, so agree a daily cut-off, for example 3 pm for that night's shifts, after which roster changes and swaps are not accepted except in emergencies. The cut-off protects the safety plan as much as the budget.
Worked example: covering a 24x7 chat queue
A chat process needs 12 agents logged in on each of three 8-hour shifts, starting at 6 am, 2 pm and 10 pm. That is 36 agent-shifts a day and 252 a week. Each agent works five shifts a week, so the bare requirement is 252 divided by 5, which is 50.4, rounded up to 51 agents. Leave, absence and training come on top: if WFM plans for 15 percent shrinkage, the roster needs 51 divided by 0.85, which is 60 agents. The day grid then shows whether each shift really has 12 rostered once weekly offs are placed.
How to set it up in ZeniaHR
- Create one shift code per log-in time with its timing, break, grace and night shift flag.
- Give agents personal weekly offs and build rotation templates that move offs through the week, staggered per person.
- Assign rosters in bulk up to 92 days ahead and check each shift's headcount on the day grid.
- Switch on Shift Swaps so agents swap with a colleague's acceptance and TL then HR approval, before the transport cut-off.
- Store each woman employee's night shift consent in her documents before rostering her on a night shift.

What are the shift timings in a BPO?
They depend on the client's time zone. US processes typically run from about 6 pm to 4:30 am IST in staggered log-ins, UK processes from about 1:30 pm to 10:30 pm, and domestic processes in Indian business hours or round the clock. Each shift is usually 9 hours with about an hour of breaks inside it.
How do BPOs rotate weekly offs?
They give each agent two weekly offs that move through the week over a rotation cycle, so weekends are shared across the team instead of always going to the same people. In ZeniaHR, personal weekly offs and rotation templates of up to 62 days, staggered per person, handle this, and bulk assignment publishes the roster weeks ahead.
Can women work night shifts in a BPO?
Yes. Night work by women is allowed with their consent and under the safety conditions the government sets. Employers should record that consent in writing and follow the safety conditions notified for their state before rostering anyone. Keeping the consent in the employee's documents makes it easy to show during an inspection or a client audit.
